Automatic grouping and creation of a bid invitation

Hello everyone,
we tried the automatic creation of a bid invitation in the case of items without assigned source of supply with report BBP_SC_TRANSFER_GROUPED.
We get the correct errors in the report log of missing start date and end date of the bid and missing the bidder, because I never entered the information. The system doesn't give me a chance to enter the information. It is automatic.
So what is this automatic creation of a bid invitation with report BBP_SC_TRANSFER_GROUPED for?
Where is my mistake?

  • Assigning learners to Learner Group and creation of Learner Group.

    Hi All,
    Are there any standard ways to create Learner Groups from R12.1.3. I have tried looking for Oracle standard APIs but did not find them. Is there any other way we can create Learner group from back end. I know to create them from Application but we have to create bulk number of Learner Groups. So wanted to do them from back end.
    Also we may need to assign large number of learners to learner group. Can you please explain the possible ways of doing these assignments.
    Any inputs are the most awaited.

    Thanks Anders for your input. Please look into my below query also.
    We are in 12.1.3. I tested creating a learner group and adding learners to it (both by organization and learner assignment).
    When I try to assign a course to a Learner Group from the Application, I go to course and from "Bulk Enroll" window, I input the Learner Group to which I wanted to add the course and click on 'GO'. Now Application lists out the learners in the Learner Group. Learners in the Learner Group are not enrolled into courses unless I click the check box beside each learner and select 'Add'.
    Is this the standard way of enrolling a Learner Group to the course. I am just looking for a way where I can enroll all the learners in Learner Group to a course by selecting that particular Learner Group (rather than clicking the check box beside every learner).
    If I have to check against every learner to enroll them in a course, then I dont really get the point in creating Learner Groups. Please advice.

  • Automatic download and creation of volume license installers

    Every time there is a new update of LabVIEW we typically hunt down the installation disks from ni.com as soon as they are available, and start the process of making volume license installers...(Or, if the update seems less exciting, we wait patiently for the shipped DVDs). 
    I wish it the whole provcess could be made smoother. Based on the volume license installers we have, the VLM could simply subscribe to newer versions. When 2014 comes out, the package would automatically go out to all the VLMs out there, and new volume license installers would pop up on our local VLM as soon as the software was ready...OR, alternatively, the VLM could be hosted by NI instead (possibly supported by a local VLM for offline use), so that the process of creating new installers were really done by NI (or automatically by NI hardware that is) based on whatever setup we as VLM admins had chosen...and the source material from NI.
    (This idea came about as a side note to this related discussion about LabVIEW cloud services).

    Good morning,
    We are using Plan driven procurement and bidding with Extended classic
    scenario (SRM 5.0).
    Indicator IMG sourcing is
    "Sourcing via automatic bid invitation for items without a source of
    supply"
    Is it possible to transfer several PR's from R3 to one SRM bid
    invitation?

    "Automatic grouping and creation of a bid invitation in the case of items without assigned source of supply"
    If a source of supply is not assigned, the report Automatic Grouping of Requirements for POs and Bid Invitations automatically attempts to create a bid invitation from several requirement items. If is unable to do so, this is recorded in the error log of the report.

    Automatic Grouping of Requirements for POs and Bid Invitations
    Purpose
    This report groups together requirement items to which a valid source of supply has been assigned (for grouping into purchase orders) and whose product category has been enabled for grouping (sourcing option in Customizing).
    In cases where assignment is automatic, the system sets the requirement as Transferred to Grouping.
    In cases where a source of supply is assigned manually, the purchaser has to choose the function Transfer to Grouping in the sourcing application for the requirements.
    You should schedule this report periodically, and make sure that the report is run separately for each document type (purchase order, bid invitation).
    Prerequisites
    You have assigned each relevant product category to a sourcing option for grouping, for example, Automatic Grouping, Sourcing for Item Without Assigned Source of Supply.
    For more information, see the Implementation Guide (IMG) for Supplier Relationship Management: SRM Server -> Sourcing -> Define Sourcing for Product Categories.
    Features
    Report BBP_SC_TRANSFER_GROUPED provides the following functions:
    For automatically grouping requirements into purchase orders:
    It selects all requirements that have a unique valid source of supply, and have been set up for grouping. You can use selection criteria to further restrict the requirements that are selected.
    It groups requirements by vendor. In other words, it groups together all of the requirements that can be sent to the same vendor.
    You can use a Business Add-In (BAdI) to make additional groupings. If the standard system groups together certain requirements, but you want to create them in separate local purchase orders, use the BAdI BBP_GROUP_LOC_PO for this purpose.
    Note that there are some limitations to creating purchase orders this way. For example, it is not possible to group together requirements with different vendors in the same purchase order. This report uses the same differentiation criteria as the sourcing application (for example, business partner, company code, product type).
    It uses function module BBP_PD_PO_CHECK to check the assignment to a source of supply. The report passes on requirements to function module BBP_PD_SC_TRANS_MULTI_LOC_PO, where they are grouped, and converted into a purchase order.
    In a production run (that is, not a test run), the system issues error messages to the Application Monitor. Example: A contract item assigned during sourcing is no longer valid when grouping is about to occur. This error appears in the Application Monitor. The system moves the requirement item to the worklist of the sourcing application.
    The Application Monitor assigns errors to one of the following categories:
    Shopping Cart: Automatic Grouping
    Purchase Order: Automatic Grouping
    If necessary, you can copy this report, and change the selection criteria to suit your needs. You can start the report in test mode.
    Note: In the sourcing application, you can determine which requirements are planned for the next report run by choosing Find -> For Grouping.

  • Standard process for PO creation from Bid Invitation or Bid

    Hi everybody,
    I would like to know what is the standard process to create local Purchase Order (i mean in a extended classic scenario) from Bid Invitation or Quotation.
    In the current process, Bid Invitation are created form Shopping Cart using Sourcing Cockpit. Then, Purchaser will send its Bid to supplier (by publishing Bid Invitation) using BBP_BID_INV transaction.
    Then, supplier will submit its Bid.
    At this step, what it is the standard process (does it exist ?) to create a Purchase Order linked to this Bid ?
    The need is to have a PO as follow-on document to Bid.

    Hi,
    After the bids are submitted and when the bid invitation opening date arrives, there will be a map for you to compare the bids received.
    To see this map, go to BBP_BID_INV transaction and the map will be there when you search your document.
    When you click on this map, you will find one column for each of the companies that sent quotations.
    You can click on the company's name and then you need to click on button 'Accept', in order to accept the company's quotation.
    Then you click on 'Refresh'.
    Then you click on 'Create Purchase Order' or 'Create Contract'.
    In order for that to happen, you must have defined number ranges and document types for bid invitation, quotation and purchase order.

  • Bid Invitation not automatically sending change notification email

    Hello,
    I have the folowing issue with the email output bid invitations in SRM 5.
    In Define actions for document output I set BBP_PD_BID to Processing when saving document.  This work fine for new Bid Invitations, but when I make a changes after publishing no new output is generated for change notifications.
    When I manually select 'Inform bidders and send out bids', the origional email is re-output and not the change version of the smartfotm text ('We would like to draw your attention to the'..... and not "The following bid invitation has been changed")
    Is the auto output of change notifications for bid invitation standard?  I though it was as I saw it set up in a different system.

    It looks like the auto output is not standard as per this sap help page:

  • Adding External Requirements to existing Bid Invitation

    We have a need to add external requirements to existing Bid Invitations. For example, I go to sourcing cockpit, choose 2 shopping carts to add to work area, select create bid invitation and it creates a bid invitation successfully for all line items of external requirements selected in the work area. Lets say the next day, another external requirement comes in and I want to add this new shopping cart to existing bid invitation. how do i do this? Requirement is to link this new shopping cart to the existing bid invitation. Adding a new line item, or changing qty, etc. does not do this. the shopping cart must be linked to the bid invitation.(i.e. the history tab should have every shopping cart linked to the one bid invitation). I have researched the submit to grouping functionality and this does not meet this requirement as far as I can tell. If you think it will, please elaborate.

    Hi Justin,
    Once you have created BID invitation and published it,it is possible for adding any new requirement into the created BID.I even looked at option of copying BID and adding this new requirement into the copied BID but it does not behave in the way you are looking.
    Although I am looking in extended classic scenario system still I feel that in standard enviornment system should ideally behave in the way it is designed currently.
    So,I donot think the way you are looking at is possible.

  • Bid Invitation  - assign Bidder

      I am working on the configuration part of Strategic sourcing in SRM. I am facing a situation in the process. Let me explain you the flow folloed by me.
    1. I created a Shopping cart and did approve it successfully.
    2. I created a Bid Invitation from SC and did publish.
    3. Now If I am not wrong this Bid Invitation should go to the Bidders, who should be able to quote their prices.
    But I am not able to figure out that how to handle this.
    Infact I did assign a vendor while converting the SC to Bid Invitation and assumed that this bid invitation should go to the vendor but it is not happening.
    can someone guide me how to do this?
    It would be better if you tell me how to create a bidder and assign the bid invitation to him?
    I am basically an technical, so I apreciate if you explain in detail. thanks in advance.

    Have you maintained Vendor root organization in EBP and under this root organization you to maintain Vendors on whom you want to place bid invitation.
    Pls. check this and confirm.

  • Alert for Bid Invitation

    Hello Folks,
    We have a requirement were alerts needs to be sent to Bidder i.e. 24 hours before the deadline (time/limit) as maintained under Bid Invitation.
    For this the following configuration is doneu2026
    Maintain the event and event schema for Bid Invitation (BUS2200). Under Event schema you specify the triggering event: No Bid Submitted, Published_Again etc. and also the deadline value.
    Then assign this event schema to transaction type Bid Invitation.
    Then maintain the Alert category SRM_BID_INV for Bid invitation here you specify the recipient either fixed one or role specific.
    Currently the triggering event set is No Bid Submitted for alert category SRM_BID_INV and the deadline value is minus 24.
    Issue 1:
    When a Bid Invitation already published, reaches its deadline limit i.e. 24 hours before the deadline limit. System should trigger alert and notify bidder that only 24 hours remaining to react hence please submit the bid.
    Currently this alert is not getting triggered for the deadline. Does it have something to do with Negative Deadline value?
    Issue 2:
    A new triggering event u201CPublish againu201D was set with deadline value Zerou201D0u201D.
    Now when a bid Invitation was published again system sends alerts to the Bidder notifying of the changes which is correct.
    But then system is sending the same alert thrice. How can we control this so that only one alert is sent per Object ID.?
    Issue 3:
    As specified earlier we had set up the recipient for Alert Category either on a fixed basis or role specific.
    As a result of this every alert for Bid Invitation is routing to the same list of recipients.
    Wanted to know, is there any other way apart from implementing Badi or setting rules to determine the recipient at runtime for a particular Bid invitation.Only these recipients should be notified via alert.

    I am trying to figure out the tables where a BID invitation's history is maintained. Basically i am trying to link a particular BID invitation number with the shopping cart number it is associated with.
    Can someone tell me which table/function can help me find the link between BID invitation and shopping cart.

    <b>Try BBP_PD transaction -> Best transaction for finding details of any type of document in SRM.
    It will give all the tables involved in this case.
    It by default works for BUS2121 -> shopping cart
    and change the Business object type from BUS2121 (shopping cart) to the Bid (BUS2001* -> not sure chk it out)
    and then give your Bid invitation number and execute it. On the next screen, it will display at least one line, and on the line when you click, you can see all the details of that document. Even the back-end document details as well.</b>

    Newbie here, so thanks in advance for any help. We are in design phase and trying to figure out what's feasible or not.  We want to automatically create a bid (RFQ) from an approved SC item.   We then want to send this bid (RFQ) to our middleware (egate).  Here are my questions:
    (1) Can I create a bid in SAP EBP from the SC item, without setting up the Bidding Engine? 
    (2) Is creation of bid in SAP EBP, the same concept in R/3 backend, that is, I can view it via ME43 and it's stored in EKKO?
    (3) Found several FM, what is the diference between BBP_PD_BID_CREATE and BAPI_BIDEC_CREATE?  Which one should I use for our purpose in (1) above?  
    (4) Then, there is the BADI, BBP_CREAT_RFQ_IN_DPE...this seems to be a user-exit connected with the Bidding engine, allowing the developer to change the bid?
    (5) How can I send the bid (RFQ) automatically to the middleware within SAP EBP in XML format?  Is this feature available in one of the FM in (3) above?

    Good Quesitons. I will try to answer what i can.
    1. You can create a Bid Inv in SAP EBP from the SC item.  You do not set up Bidding Engine separately. It is part of EBP, you just need to enable the Sourcing/Bidding transactions, Assign Roles and Authorizations.
    It is LAC, SUS, CCM, those are setup separately.
    2. Creation of bid in SAP EBP, One part of RFQ functions, as the same concept in R/3 backend, but have much features than what you do in R/3.
    3. The diference between BBP_PD_BID_CREATE and BAPI_BIDEC_CREATE.
    BBP_PD_BID_CREATE is used as parf of Bidding Functions, not an interface.
    BAPI_BIDEC_CREATE is an interface. You are trying to create Bid Invitation from external system, you should consider this interface. 
    4. Yes, there is the BADI, BBP_CREAT_RFQ_IN_DPE...this seems to be a user-exit connected with the Bidding engine, allowing the developer to change the bid inviatation in the background, Like other Doc Change Methods in BBP_DOC_CHANGE_BADI.
    5. How can I send the bid (RFQ) automatically to the middleware within SAP EBP in XML format? Is this feature available in one of the FM in (3) above? - I am sorry i do not understand this question.
