Buyer of shopping cart, purchase order and contract

Hi
I wanted to ask about buyers. Are buyers usually a purchasing group/organisation? I am not sure if my thinking is right but wouldn't a buyer of a shopping cart and purchase order be the same. And a buyer of a contract would or can be different to the shopping cart because a contract is a source of supply and is probably linked to many purchasing groups/organizations.
Is this reasoning right? Buyers are different to approvers too isn't it? Please could someone explain this to me?

Ideally each buyer should ahve a unique purchasing group. In thsi case we can say that each buyer is a purchasing group. However, in some companies, its a possiblity of sharing a purchasing group. In that case multiple buyer users will be assigned to purchasing groups in the SRM organizational structure.

Normally, if a PO is created w.r.t. SC, the purchasing group is copied. So its the same. However we can change the purchasing groups in sourcing cockpit using workload reassignment option or direcly in the PO/contract document.
So we can say that its necessary to have PO/contract purchasing group same as that in SC.

    I created shopping cart. I approved as manager when it was waiting for approval. But when I come back, it is showing only approved. Since after approval it should create Purchase Requestion/ Purchase Order.

    Goto trascn CHECK STATUS and go in tht item details.There click  on the FOLLOW ON DOCUMENTS link.If the PO is created,you will find it in the graphical display the details about the PO (follow on document) which is created in the R/3 backend.Also see if the job/program "CLEAN_REQREQ_UP " is running because of which the status is updated in SRM once the PO is created in the R/3 system.

  • Purchase Order and Contract - controlling overall value

    Our process has the following steps - The total amount in the order to the vendor is fixed. Indivdual services have rates fixed, but quantities are not fixed ie, the quantity can vary from 0 to any upper number subject to the overall value of the order. I tried the following:
    Created a contract (ME31K) with the services and rates entered (quantity kept as 1). Overall value entered as the contract limit. PO created (ME21N) and Contract details and overall limits entered. Service items adopted from the contract and the 'No Limit' box checked for individual services. All service quantities maintained as 1 no, rates copied from contract.
    With this my expectation was that the system will allow multuiple service entry sheets for each of the services upto the limit specified by the contract. However the system allowed Service Entry for value exceeding the overall limit of the contract.
    What other configuration needs to be done to make sure that beyond the overall value limit, system does not allow service entry.

    Is it possibles to change the PO and Contract item overview screens as we have a specific need to include one additional column (delivery dates)?As an example, for a SRM PO , we want to include a new free text field we have defined?

  • Purchasing Document Type (Purchase Order and Contract)

    I have created two different PO  document type in development Server .I have transferd sandbox for further testing ,There i hve change the number range interval status to "0" after that I have created a PO with new document type in the sand box ,it is working fine but after save ,system showing some error msgs. as Below
    Express document "Update was terminated" received from author "JOYDEEP"
    What may be the problem.kindly suggest .

    This update termination may be due to some configuration or may be due to some development which is resulting in the dump. Go to SBWP - your SAP inbox, there you will see a mail, open that mail to see the details for the reason for this update termination.

  • Automatically adding  purchase orders and maintenance contracts

    We are actually doing our purchase requisition and quotation externally through a procurement agent.  We get an excel sheet extract from our proquriement agent of all our purchases.  We want to be able to automatically enter these purchases into the system for record keeping.  Is there a way SAP can automatically read the extract file and enter purchase orders and maintenance contracts into the system?  Any help would be greatly appreciated.

    The GL Account field in PO Line is not a UDF, it's a standard field.
    other information, if I try to fill the GL Account field using the SAP orange arrow, it's ok(by selecting the same account number)

  • Old Purchase orders and template - Price Information not taken into account

    Hi experts,
    In MDM catalog, I have a product with 'Price Information' and with 'Contract price'. I create a shopping cart with the 'Price Information'.
    Then, I create another shopping cart using the anterior througth the functionality 'Old Purchase orders and template'.
    The price taken into account is the 'Contract Price'
    Is this the standard procedure?

    as far as i know the price preference is in this order
    1. Contract price
    2. Purchase Info record
    3. list price
    so in that case - this is standard procedure
    you can confirm - by doing the same process for an item that  has ONLY price information (list price) and see if that price is copied from old to new SC

  • SRM- Pucchase Order and Contract (backend) Tolerance failures

    Using SRM 7 Extended classic scenario with ECC 6.0.  Tolerances have been set up in ECC and SRM. 
    The Contract is raised in the backend and replicated into SRM. 
    In SRM, both PPOMA and Vendor groups have been assigned the correct TOG.
    Raising a Shopping Cart that exceeds the Contract Target value, but it within the Tolerance, works fine.  However, once the Shopping Cart is approved, the back end PO creation fails, leaving the SC status as Saved.  A review of SLG1 says that the PO exceeded the Contract value and displays errors for both Quantity and Target Value.
    Any ideas on where to investigate appreciated.

    give more precise data about TOG you given in org structure
    so you will get more suggestions from other people. it is power of SDN
    created PO successfully in ECC via ECC request
    no PO created successfully in ECC via SRM request
    give more data on sc /pr /contract data ( quantity or value contract) for better understanding

    I'm having similar problems btu with repsect to SRM PO's against Contracts raised in the backend (replicated into SRM)
    Our infrastructure -s SRM 7 Extended Classis Scenario and ECC 6.
    I have tolerances setup in ECC and SRM and the TOG has been assigned in SRM Vendor Groups and in the HR Org Structure (PPOMA).
    Tolerance are 5% up to $100.00
    If I raise a Contract in ECC, and a PO (MM) in ECC, then the PO will work if I stay within the allowed tolerances.
    When I raise a PO in SRM, the Shopping Cart is processed OK, but when the SC is approved, the backend PO is not created.
    In the Shopping cart in Related Documents for document Purchase Order, the Satus is set to Saved. A review of SLG1 indicates error due to exceeding the quantity and the Target value.
    Why are tolerances not being taken into consideration? How do I get this to work?

    We are consider to add restriction while create shopping cart item by "Old Purchase Orders and Templates".  After implement such restriction, create item by copying old shopping cart item is not allow for particular matereial group number.
    Is there any BADI can be used in our case?  If there is no, could modify HTML template the only solution?

    If the restriction is for certain group of people,then you  have 2 options:
    1.Make the link invisible for those group of people by implementing the BADI BBP_SC_MODIFY_UI.In the BADI,first check the user attributes like particular role and based on that make the link invisible.
    2. Assign certain role to the  group of users who should not see the link "Old Purchase order and templates".You can hide this link in the MENU by removing this from the lits of trasctions in that particular role.In PFCG,go in that role and then under MENU tab,remove the entry for "OLD PURCHASE ORDER AND TEMPLATES".

  • Shopping cart Purchasing group determination

    Hi All,
    I have created Org structure like this
    Backend pur.organsiation> purchasing group(Back end)>buyer1
    department1-->user1
    Buyer1 is responsible for department1
    When user1 is creating shopping cart , I found in shopping cart purchasing group field is not showing.
    Later I have created Local pur org and Local Purchasing group and Buyer4 assigned to it.
    When I create a SC , now purchasing group field is showing with only one buyer i.e Buyer4.
    we are on SRM 7 EHP1 and Extended classic scenario.
    Is this standard behaviour that SC only shows Purchasing groups of local Purchase org.

    I can see buyers for local purchasing group only, not the Back end purchasing group buyers.
    For back end purchasing group I have kept in function tab a check box as purchasing group, and purchasing group number refering to back end system

    From here, i would get the list of items which user has selected and add to the cartList, then i would direct the user to CartDetails.jsp which displayed the items user has selected.
    From there, user would be able to remove or to continue shopping by selecting other category.
    How i do store all the items user has selected ... everytime he would wan to view his cart ...
    As i would be calling from jsp to servlet .. or jsp to servlet ... and i do not know how i should go about in creating the shopping cart.

    Yon can use a data structure as vector and store the items selected by the user into the vector . Keep the vector in session using session object , so the user can access the entire shopping cart from anywhere in the application .
    Then , you can change the cart accordingly .

    I see that the purchase order can be registered in the system by two different interfaces (I'm running R12.1.1): Using Oracle forms (Navigation path: Purchasing Super user: -> Purchase orders -> Purchase orders) and using Java html pages (Navigation path: Purchasing Super user: ->Buyer workspace ->Orders).
    I have two questions:
    1. The second option (using java pages) is not documented in the usersguide. Is it fully in production or they are still developing it? Why there are two different interfaces for the same purpose?
    2. I see that from Java pages interface I can only see requisitions, but I cannot enter new ones (Navigation path: Purchasing Super user: ->Buyer workspace ->Requisitions). Should I enable somewhere this or the requisition is not developed using Java pages interface?

    I am new to this module and i am trying to create a Trading contract. As I understand that the trading contract should create Purchase order and Sales order automatically. But in my case, this didn't happen.
    In this regard, I want to know,
    i. Are info records mandatory or mentioning the required purchasing and sales data during contract creation is sufficient.
    ii. What are the configurations required to do for GTM functionality and which are the points should I check for this.

    there are some status that is required to be set while you save a  trading contract.
    your trading contract must be approved or released..only then follow-on docs will be created.

    Framework order is also known as Blanket PO.....which we use for the procurement of Low value Material with Long term planning....It is used as Mini Contract....
    Blanket Order:
    Used for long validity period and with the provided value limit. By its name u201Cblanketu201D which covers to required long time? We use doc type FO(for long period) and item cat. B(for value limit).Goods receipts or the entry and acceptance of services performed are not necessary in the case of a blanket PO and limit items. The invoices are posted directly with reference to the purchase order, provided that the specified value limit is not exceeded. But manual entry of invoiced amount and invoiced quantity is required during LIV process.
    Example: Procurement of stationary items.
    Frame work order:
    Framework order (FO) is a document type which is provided by the standerd SAP.
    It can be used for the consumable material ( Which is having low value & where making GR is not of worth like C category item.) & called as blanket PO. Here we need to mntion the validity period & target value or quantity as a restriction as well as need to mention item category as a "b".
    Also it can be used for the procurement of extarnal services (Item category "D" ). Here we need to do the entry of services which have been performed & need to accept the same whereas in blanket PO, GR is not required.
    At the end i would tel u that Framework order is the document type which can be used as blanket Po & procurement of services.

    For creating Blanket PO... You need not have to maintain material master.....Maintaining Acc.assignment Category in PO is mandatory....also you have to maintain Validity Period in Blanket PO...
    As per SAP Best Practice.....for Blanket PO, GR is not possible.....you can directly post multiple Invoices for One Blanket PO....The validity and total Value of these Invoices for Blanket PO during LIV can be controled by tollerance keys LA and LD.
