No Responsible Agent filled? workflow goes to all

Hi All,
I am new to workflow. I am trying to fix a leave workflow issue. Issue is when ever the leave applied it goes to more then one manager. Even thou employee got manager in organisation. When I checked the workflow log, I found no “Responsible Agent” in list, only “Possible Agent” as list with more then one entry (all of them got this workflow). I am not sure what’s wrong, agent determination is done using “Rule resolution” I am unable to link workflow and rule used. Can anyone tell me what should be causing this problem or why responsible agent list empty.

Responsible Agents
           Who should do the work
Responsible agents are the people who are supposed to execute a particular work item.   
Responsible agents are assigned at the workflow step level or at the task level via default agent determination rule.
   Assignment of Responsible Agents
    Responsible agents can be assigned by using
Expressions (Initiator of workflow)
Organizational Structure (Organizational unit, job, position)
Rules (Dynamically during Work Item creation)
   The recipient(s) of a work item are established from the  intersection of responsible and possible agents.
<b>Responsibility Rules</b>
When role resolution is performed, an assignment table is
evaluated in which Organizational Management objects (jobs,
positions, users, organizational units) are assigned to the
various characteristics of the role parameters.
<b>Procedure for defining roles using responsibilities</b>
Creation of container element for each criterion that are selected for the evaluation at runtime.
Creation of responsibility and definition of criteria (individual values or value ranges) in the responsibility editor for the container elements.
Assigning users / organizational objects to the responsibility.
If the values in the role container are compatible at runtime with
the criteria defined for a responsibility, the organizational
objects assigned to this responsibility are identified as
responsible  agents for the work item.

    Hi,
    I have a couple of doubts.
    1) I do not need a workitem to be created for certain steps in the workflow.How can i avoid the creation of the workitem? If a workitem is not created, will the subsequent step execute?
    Also, is it a must to make these steps "Background" tasks to avoid the creation of the workitem?
    2) In the workflow, after a fork i send a workitem to several managers(retrieving them from an internal table).I need to send it to everybody irrespective of whether 1 manager approves or not.Right now, i get the workitem for the next manager only after the previous manager approves.How can i rectify this?
    3) The workitem must only go to the responsible agent's inbox(manager).But, right now the workitem is going to all the inboxes. I have therefore created a rule to determine the agent and added this as "Possible Agent" in the task.I have also added this rule as a default rule in the task.
    Also,when i generate the binding for this rule, no default bindings are being generated. What could the problem be?

    Hi Monica,
    1. background step means - no dialog to the user - WF-BATCH runs it in a job (but even in this case a workitem is created but it is in nobady's inbox.
    2. in PFTC you set the possible agents in SWDD by assigning the agents/rule define the responsible agents.
    "The system resolves the rule for the recipient type agent at runtime, and determines the responsible agents of the task. All responsible agents who are also possible agents become recipients of the relevant work item."
    If it does not work, you have to check the note for authorisation and the rule (PFAC).
    If it still does not work, there is an issue in SAP.

  • Agent inbox not filled with Responsible Agent value

    Hi,
    We have set up a rule in ERMS to route the email related to a case to the person responsible for the case.
    Rule is getting executed sucessfully, however the responsible agent value in not getting filled in the Agent Inbox.
    We have created a new service for this.
    I saw note# 1143079 for a similar issue but for responsibile group.
    Will the same work for responsible agent as well?? Will moving our new service above UT_WORKITEMTEXT do the trick?
    Can anyone help me to fix this issue?

    I'd like to know somehing about the agents in workflow.
    As far as I know there are 3 types of agents:
    1. Responsible Agents
    2. Possible Agents
    3. Actual Agents.
    I want to know why there are 3 types of Agents and how they are dependent on each other? Please let me know in details...

    Hi Pritham,
    Yes you are correct. You would assign something in WF e.g. if it changes (using a rule based on company code for example) or if you have a task that is used in different parts of the flow with different agents.
    The agent determination is very flexible and very powerful and there are many ways to do it. Some ways are good in some situations and bad in others and vice versa.
    Remember that you CAN change possible agents in Production, but you can NOT change any assignments done in the WF template (unless it's via a rule).
    Excluded agents - in your example, if Y is an excluded agent then the WI will only go to X:
    possible = XYZ
    selected = XY
    Excluded = Y
    Actual = selected - excluded = X
    The excluded scenario is a little different from the way I think it should be designed: If <i>your agent determination</i> results in a blank for selected agents it will go to all possibles. The excluded bit is applied <i>afterwards</i> - it simply subtracts. So if your determination results in one agent which is also excluded then you have an orphaned WI with no agents. (Your WF admin will pick those up with SWI2_ADM1). Still, it's usually simple enough to design around.

    Additional note: If you are using a rule you can set the flag 'Terminate if no result' - this will send the WF into error if no agents are found.

  • Rule returns no agent and workitem sent to all users

    Hi,
    In my workflow I have defined a rule fot a workitem. The task is general task. When this rule does not return a possible agent system is sending workitem to all the users in the system.
    I tried to make the task general forwarding not allowed, then the workitem is not triggered saying no agent assigned though my rule results in an agent.
    I can give a user of workflow administrator or dummy user in rule - function module. But what is the standard way of solving this issue. I was expecting the workflow to go into error mode when my rule - function module returns no agent instead its going to the inbox of all users in the system.
    Please advise.

    You have a chck box for  "Terminate if rule resolution without result"
    Please cheeck this and try.

  • Is it mandatory to assign a task to responsible agents?

    Iam new to workflow and i have few questions . Iam implementing CATS on ECC6.0 and in the data entry profile i have given the task ID  TS31000007,Now i want to assign this task to an agent,
    1. Is it sufficient to assign possible agents to the task through PFTC so that all possible agents can execute the workitem.
    2. Or is it mandatory to assign the task to responsible agents <b>also</b> through a rule.
    3. If i make the task as a general task can the perosn who entered working time can also approve it .

    In CATS data entry profile i made the following settings
    With approval procedure
    Using business workflow
    Auto determination of a recipient
    Task ID : TS31000007 - approval by a chief (supervisor)
    Now i make the task as  general task ( possible agents).
    I <b>dont</b> define a rule for the task in the defaults tab .
    Now does the workitem go to all users?
    and if i maintain agent assignment to a task through PFTC ( for example i assign the task to a user) and dont define the rule .
    Does the work item goto that particular user only?

  • Time sheet approvals going to all other PMS

    Hi all,
    We have situation here,
    there are 3 projects A,B,C each one of them is having different project manangers. Person1 is available in all the three projects.
    Person1 submits time sheet for project A, the time sheet approval is going to all the three PMs A,B,C. So B and C are receiving even if they are not responsible.
    what could be the possible issues. We checked all these 3 PMS are not allocated to all projects is one to one here.
    We are using NWBC. Please help

    1) Which time sheet are you using?  - CATS or ESS or PPM Confirmation screens
    2) Do you any workflows implemented for time sheet approval? and if yes for which object?

  • TS20000168 workflow sent to all users

    Hi all,
    I need help with the following problem:
    I have set up TS20000168 (mm_po_ok)  for workflow notification to be sent when the release of a purchase order is effected. For the activity "Release of purchase order effected", I have already set the agent using the expression &_WF_INITIATOR&.
    However, when the workflow is triggered, all my users, instead of only the initiator, will get a similar message in their inbox. Why is this so? Is there something I should look out for?
    Any form of help is appreciated. Thank you in advance.

    I am using the same workflow it working fine.
    1) Check it is general Task, if you developing in one client and testing in another client, then in the testing client check whether it is general Task
    2) Check the binding is as below,
    Workflow to Task
    &RELEASECODE&      -
    > &RELEASECODE&
    &PURCHASEORDER& -
    >  &_WI_OBJECT_ID&
    Task to workflow
    &PURCHASEORDER&  -
    >  &_WI_OBJECT_ID&
    3) Then Save & activate and test the workflow
    4) If still same problem, check any authorization issue.

  • Dynamiclly assign responsible agent based on SAP role

    Hello Experts,
    I have users set up in SAP and specific roles assigned to these users. for less maintenance purpose, I would like to know:
    Is it a way, we can use roles to find SAP users, then assign these users as workflow responsible agents?
    I do not want to maintain orgnizaion structure. just want to call sap role to assign the users.
    Is it a SAP standard way to do it? I did not find too much information on my question, can you please give me some insights on how to do it?

    Currently all the workflows in my system goes processing obsolete and escalate to the next approval path even though the deadline has not yet reached.

    Hello,
    Normally there shouldn't be a problem, except if the deadlines are calculated wrong (e.g. by using the user's local time as input, instead of the system time).
    Of course, deadlines should not be set to a number of hours if people are working in different timezones.
    Why, are you having problems?
    If a deadline is set to now + 1 day then it will expire in 24 hours, it won't expire any sooner for someone in a different timezone.

  • Doubt in possible agent and responsible agent.

    Hi All.
    Can any one please help me in solving difference between possbile agents as responsible agents.
    As per my understanding we will maintain the possible agents in the task definition and responsible agents in the work flow definition.
    For example if a invoice posting needs to be handled,if i define three agents in the task definition as possible agents who will become the responsible agents out of three..
    can any one please help me in understanding the difference between possible agent and responsible agent?

    It's very small but interesting doubt :P
    If in activity level  any agent is maintain like we maintain &_wf_initiator& generally. that agent is the responsible agent .. or if any rule is maintained then the agents selected by the rule will be responsible agents but the ..
    There is something which you have missed is recipients .. who actually receives the workitems in their inboxs..  these are the user who are the intersection of possible and responsible agents..
    In short
    Possible agents as you have said..
    Responsible are the agents you maintain at activity level or get selected by the rule.
    and Recipents who actually gets the workitem..

    Hello I need some help...both my husband and I have iPhone 4 phones, we also have an iPad. We bought our son and iPod for Christmas and while setting it up I must have done something wrong as now it seems that messages are going to all devices. At this time we only have one Apple ID for all, my question is is it best if I set up a separate Apple ID for the iPod and if I do that will my son still be able to have the music and apps from the original Apple ID? Or is there a way that I can have all the devices be separate while only using one Apple ID?

    Before going through the trouble of creating a second Apple ID, you should open all of your devices and go into Settings>Messages>Send & Receive. Here, you can assign everyone one and only one designated phone number (or email if the device is not a phone) to send and receive messages from. This will make life a whole lot easier than having multiple iTunes acounts to deal with.

  • How can I find duplicate photos without going through all 5000  one at a time?

    How can I find duplicate photos withough going through all 5000 one by one?  I have numerous duplications and used to be able to click on Edit and Find Duplicates and could clean up all the duplicates easily.  Now that option is gone.  I still have lots to delete.

    I do backup everything using Carbonite.Please don't tell me it is bad, too :-)  Also, especially with photo files, I do have other backups of those I am concerned about. Probably not the best in the world, but a log better than many people who I know about.
    Again, I really have not seen any problems with MacKeeper.  I imagine that if people do not read and follow instructions, they could have problems. For example, it is possible to scan all your files and see them in order of size. If you start deleting things, without knowing what you're deleting, you could cause trouble. Even when the computer scans for so-called junk files, you can look at them and decide for yourself if they are truly junk. I've never seen any that were not.
    So, I will look at the complaints anyway to see them. I am open to change, although I hope I do not need to drop Mackeeper as it does things like keeping tracking of applications updates that I need. Please note that I definitely am not a MacKeeper employee or anything close. Just using it and happy with the the results.
    I did download the recommend file for finding photo dupes and ran it.  There were very few duplicates, in any case, As I said before, the MacKeeper dupe finder was very slow when I ran it over ALL my files. That was a year ago and it did find many non-text dupes.
