Swnconfig exclude outbox workitem

Hi all.
I have scheduled the SWNCONFIG to send out approval notification every 10 minutes in my system.
However, users might manually approve them from SBWP.
After they had approve the document, the workitem moved from INBOX to OUTBOX.
Now, how do I exclude those work items from OUTBOX?
As now the SWNCONFIG still sending out all notifications if they are not send yet.

Hi Jack,
If I am correct, SWNCONFIG will pick up all the new work items created during the interval of scheduled job and those will be send ( thro' SCOTS's settings ) to approver's mail adress.
In the meantime, user has executed the particular work item in SAP Inbox , the queue of Notifications in SCOT / SOST will not be modified and the work item notification will still be sent.
I think this is a user training issue and you need to infom the users that the approval should be done once they receive the notification thro' mail.

    We are customizing the XM for UWL. Our requirement is to exclude certain types of workitems for eg : subworkflows., they should not be shown in Tasks , Completed Tasks .

    While approving a workitem , when I choose "Completed Tasks " , along with the workitem that has been processed , there appears another 1-2 subworkflows that are actually associated with the workitem( in backend).
    So it makes 3 entries per workitem in "Completed Tasks" instead of 1.
    I do not wish to see these sub workflows.
    As this subworkflow do not has a task id associated with it but a workflow template id starting with "WSXXXXXXXXX" , so I do not knw what to exclude in configuration.xml file.
    Kindly highlight on this part.

  • Add attachment to workitem in the outbox

    does anybody know if it´s possible to add an attachment to a workitem in the OUTBOX=> "workitems executed by me"?

    I think you might add attachment to the Main workitem or TOP WI_ID provided it is not completed.
    I think once it gets completed you are not allowed to change container element which includes addition of attachment.

  • Leave Request work items are not showing in SBWP TCODE under OUTBOX .

    I used work flow 12300111 for leave request process and I activated that work flow.
    I applied leave through ESS from portal(Employee login)employee sends a leave request sends good,
    and I got  Leave request(work items) Managers in box(uwl in Manager Login in portal).
    Manger Approve the leave request has been approved successfully.
    can I check whether leave request is processed in R/3.
    in tcode se38-RPTARQDBVIEW - UNDER leave request(Leave)->STATUS>COMPLETED,
    But in r/3 i execute the Tcode SBWP...
    here is no work items are not showing in outbox..

    it wont be shown in outbox of SBWP
    you need to check via SWIA or rptarqdbview or SWI5 for the user
    these are java based tasks so will be done in UWL. you can see only the tasks but after approval they are disappeared.
    The outbox shows the last 30 days by default. This default cannot be
    changed. This 30 days selection period is always set when you enter
    the outbox. However, the user can change the selection period by
    clicking the button 'Change selection period' on top of the grid
    control but this as you know will be reset once you log out.
    This is how the mapping from the
    backend workplace folders to the UWL tabs should work:
    UWL tab                        Backend folder
    Notifications                  Deadline Messages
    Tasks-> Completed Tasks        Outbox -> Workitems executed by me
    Tracking -> My Requests        Outbox -> Started Workflows
    Tracking -> Forwarded          Outbox -> Forwarded workitems

    i have a question. We submit expense report. Sometimes, we are not sure who is next level of the approver. How do i trace the next level of approver of that particular submitted expense report. Please tell me ht transaction which helps to trace it.

    Hi Deepan,
    you can goto SWI2_FREQ for seeing your task. you can goto yr task and see the log who is the approver in agents.
    Or if anyone has approved and u dono where it has gone means, you can goto his Business Workplace and goto outbox->workitems executed by me and can see where it has gone in Agents.
    Or you can goto SWI6 and give yr BO and see the workflow log.

  • Send approval email notification to Lotusnotes/Outlook

    Hi all,
    Our requirement here is to send a confirmation e-mail to the requisition creator once their requisition has been approved by the requisition approver.
    So far, we have been only able to send this message to the requisition creatoru2019s SAP Inbox, however, our requirement is to send it to their e-mail address (i.e. outlook / lotus notes).  We understand that if we set-up this confirmation message as a work-item (i.e. not an SAP Inbox message), then we could use the standard Workflow e-mail notifications (SWNCONFIG) to send the e-mail to the requisition creator.  We want to know if it is possible to send an e-mail from the workflow system without setting this up as a work-item (if we set it up as a work-item, then we are forced to have a decision, and a decision is not relevant here).

    Hi Pavan,
    The note you mentioned talks about the integration of SAP and lotus notes. But, as we are in ECC5.0, we dont want to do the lotus notes integration.
    For, now I have setup the forwarding email functionality in SO13 and the issues has been resolved.
    I am using SO10 setup to send email notifications to lotusnotes email ID and SWNCONFIG to send workitems to lotusnotes email ID. Issue resolved for now.
    Still looking for some more options to resolve the issue.

  • Filter UWL for certain Workflows

    Dear,
    Is it possible to exclude some Workitems, depending on the task or workflow from the UWL?
    I've tried it by removing it from the XML file but that didn't seem to work.
    Is it also possible to exclude WF's in the SBWP transaction?

    Hi,
    I have been able to exclude workflow's within the UWL, but this only is possible by creating a configuration xml with the items you want to be used or visible and this will be used instead of the default.
    If you want more information I will be happy to help as we have done this with our ESS/MSS items.

  • Next Approval not selected, workitem now in outbox and looks like 'hanged'

    Hello experts,
    There is an approval workflow that got lots of approval levels.
    Lets say:
    Level1 - 4 person
    Level2 - 8 person
    At level1, user can select any of the approvers of level2 to send their approved workitem to.
    The issue is, the Level1 approver not selecting any level2 approver, the user just closed the selection box. Now, the workitem is appearing in the outbox instead of the inbox - looks like hanging to me.
    Is there any way to continue the workitem?

    Check the workflow log. Probably the task is created without an agent. You can use transaction SWI2_ADM1 to find these tasks and correct them. You will need to change the container.
    I would also suggest you change the workflow so if the user doesn't select an agent you will loop back and represent the task, so he couldn't leave it without selecting an agent.

  • Workitem not going to a particular user id

    Hi,
    I am having a workflow container element APPROVERLIST which stores the ids of the users to whom a particular workitem should go. But for a particular user id , the workitem is not going to that person, rather it is going to some other user ids. I checked  if that id has been substituted but that is not the case.
    Are there some other areas where I can check exception?

    I have checked all the above scenarios.
    There is no excluded agent existing . The bindings are correct. Let me describe the scenario little bit more in detail.
    APPROVERLIST is a workflow container element ( multiline ). This container element is populated in a particular task. This task fetches the user ids from a table and stores it here.
    In the next task which is a foreground task, in the "agents" APPROVERLIST is mentioned against EXPRESSION , so this workitem will go to all the users who are in APPROVERLIST.
    Agent assignment is maintained correctly. Its not working for one particular id. Is there any place to check this outside the workflow design?
    Also I checked the user id, it is existing.

    im using the task to trigger work item to a person and scheduled a deadline. but suddenly my connection to the server has lost.
    again i have opened my inbox i could not be able to have the workitem in my inbox.
    but the deadline is already triggered to another person regarding this work item.
    in this case how to get the workitem in my inbox?
    how these kind of scenarios are being handled ?

    You can check which are the workflow you have started from
    SBWP->OUTBOX ->Started Workflows. There you will get the workflow and check this from the Workflow log by hitting the Wflow Log button.

    we need to configure the SWNCONFIG for Extended  Notifications.
    We have already made some steps but the report  SWN_SELSEN does not work. He says there are 0 WorkItem to be sent.
    We should send an email with links to step inside the workitem (Approve, Reject ....)

  • Multiple Languages in Outlook mail for a workitem not working(Note 1230808)

    All Gurus,
    I am on ECC 6.0 with the below system details.

    PI_BASIS     2006_1_700     0005     SAPKIPYM05     Basis Plug-In (PI_BASIS) 2006_1_700
    We have implemented Extended Notifications in our system and it has been working fine so far with a single language EN. Now, we got a new requirement to generate Outlook mails corresponding to a work item in multiple language (FR for French apart from EN). Towards this, I applied OSS Note 1230808, with all the pre-requisites taken care as mentioned in the Note in our Sandbox system. I found this note from following blog (Thanks to Mike Pokrara !!!)

    The FR text has been maintained for a standard task (Created by us only) as below:
    1. Task Description in FR is maintained thru' PFTC txn, by choosing the FR option, and
    2. Work item text for task is maintained thru' SE63.
    Also, as mentioned in the OSS note, a value 'C' has been maintained for Parameter "WI_TASK_LANGUAGE" in SWNCONFIG.
    Even after this implementation, when the emails are generated for an EN user, the Outlook mail is fine with all the text in EN, as expected. But, when the FR email is generated for a FR user, only the Workitem header text, the std. Header and Footer (maintained and picked up by std. SAP SO10 text) are translated into FR. But the Task Description part is still displaying in EN only.
    Anybody had same / similar issue for this reqiurement ?. Can anybody tell me if anything is wrong in the way we are implementing or any limitaitons or known issues of this note / requirement ?

    It was a type from our side while implementing the manual corrections that were part of the OSS note 1230808. We found this with SAP's help and it's fixed now.

  • Workitem not receiving in workflow inbox

    Hi  All
      Workflow working fine in Dev110(development system), but not working in DEV130(Unittesting) . In Dev 130, once workflow is triggered through background proces(WF-BATCH), workitem is showing up in WF outbox... but not showing in WF inbox.
    Please suggest if you have any idea with detialed steps.

  • Workitem cannot change in Inbox SBWP

    Hi All,
    I used the workflow WS10000051 and WS10000052. I have customized the text of Workitem in SBWP (add the posting date). This workflow is triggered when parking. If I parked and completed the invoice document with posting date 14.11.2011. Then the text in workitem will display 14.11.2011. But when I changed the invoice to 16.11.2011 and click "Save as Completed" directly. The workitem do not change and still display 14.11.2011.  I understand this condition, it is because directly we click "Save as Completed" and not click "Parked". But how I can change the triggered event? I want the posting date in workitem will update when we change and completed the invoice directly. Kindly need your help.

    When you click/open the work item, it gets completed. That's why it is in the outbox. Completed work items cannot be forwarded (basically nothing can be done for them anymore). Most likely your step/task has been built in a wrong way. I have no idea what your step is supposed to do, but in 99% cases, when you have a dialog step in a workflow, there is e.g. some button that need to be pressed in order to complete the work item - for example "Approve" or something like that (depending on what kind of workflow process you are dealing with). And if you don't press that button, the work item will stay in your inbox. Steps shouldn't be completed just by clicking/opening the work item.
    You need to tell more details about your step. What is it doing (what happens when you click the work item)? Or perhaps you can share the code of the method that gets executed in the task?

    But purofcr should be  click on workitem. he is not saved. then purofcr back to inbox. but workitem is not inbox. it's go to outbox.
    now client requirement workitem is not saved still in inbox  after saved then go to outbox.
