Workflow - Assign serial tasks

Hi,
Perhaps I'm overthinking this or I just have got my brain in a knot, but I'm so confused.  What I want to do using Designer is set up a workflow that does this (at its most basic):
InfoPath form is submitted
1) Send a task to person A (listed on the form)
2) When A is done, send a different task to B
3) When B is done, send a different task to C
(Etc.)  There are 6 individual tasks that make up this "project".  There maybe a document created, maybe not.
I want to get a little fancier in that there are due dates and would need to set reminders but I'm struggling with task vs approval.  I created a task list and have the form adding a task to the list, but this isn't really getting me where I need to
go with tracking what's done.
Anything else that can get my head in the right place would be appreciated.

Hi,
According to your description, my understanding is that when a InfoPath form is submitted, you want to send tasks to A,B,C,D,E,F with serial (one at a time).
For your issue, you can create a SharePoint Designer workflow with "start workflow automatically when an item is created". Then you can set approval task with Participants: A;B;C;D;E;F , Serial (one at a time). Also you can set Due Date for Task
Process.

  • Overdue Email when using Workflow "Assign a task".

The new "Assign a task" action in SharePoint 2013 Workflows contains an option (under Email Options) to "Send Task Overdue Email(s)". You can choose the Frequency and Recurrence of the Emails. I have this set for a particular workflow,
but we aren't getting those Overdue EMAILS. (All the other EMAILS are working and I AM setting a "Due Date" on the task and the Task isn't marked as "Complete"....) I have read several articles on this subject and this
article was the only one that seems to address this (new) feature. It says to check the "Expiration" Timer Job (to see how often it is scheduled to run). Well, I only have one "Expiration" Timer Job and it is called "Expiration
Policy". I am pretty sure this isn't the right Job. Can anyone tell me what the name of the Job is that sends these Emails out?
Also, what is the "best" way to send out daily emails (reminders) for Tasks that haven't been completed? Should I use "Information Management" and kick off a Workflow that sends the email? (Something similar to what
this post suggests...) Or, should I create a Timer Job? I am certainly not opposed to writing code, but I would like to do this with OOB functionality if possible (and "practical").
    Any help is MUCH appreciated!!!

Has anyone "seen" this work? (bump)

  • SharePoint 2013 Workflow - Assign a task overdue email CC

In SharePoint designer the action of "Assign a task" has the option to send an overdue email, but the option itself does not have the property for CC in the email.
My list has a people/group column for the Head of Department and I would like to CC them if the task is overdue.
Any ideas on the easiest solution to add a CC for the overdue email?
    Michéle Johl

    Hello Michéle,
you might need to use the Email action to have CC option. In the below steps, uncheck "Wait for Task completion" in the Assign a Task activity so that it will create a task and proceed further. In next step we will check for the task status and
send emails everyday  or what ever the interval you want. Disadvantage with this is even if task get completed within a day, it might not proceed to next step.

  • Assigning a task based on an approval workflow

    Hello,
Is there a way to create a workflow that includes the following steps without coding:
    1. A user submits an IT service request.
    2. The request is approved by a Supervisor.
    3. The IT Manager assigns the request to a technician.
    4. The technician completes the request and attaches the appropriate documentation to the request.
    5. The IT Manager sends the completed work to the user.
    Thanks in advance.

    Hi Amatullah,
The following extention for the Workflow Activities available in SharePoint Designer will allow you to create one or more workfows that satisfy your requirements:
    http://spdactivities.codeplex.com/
The worklfow would be configured to start when a new item is added to the list / library, which would assign an approval task (or collect approval status) from the approver (Supervisor).
After the manager assigns the request to a technician and the technician completes the request, the manager may want to confirm/close the request.  this would allow the worklfow to continue and/or respond by sending the completed work to the user.
You can either "Collect data from a user" to obtain the "User" to assign the request, have the workflow "Wait for a field change" to obtain the assign to user, as well as other alternatives to get the Assign To details for each
step of the process.  A separate field for each would probably be more suitable than re-assigning the task using the same "Assigned To" field each time, as the details each participant will be captured (not an issue if using the "Collect
data from a user" action, as the Assigned To information will be available in the task item created by the workflow).
The custom activities above allow you to do the following, which may assist with your solution:
Specify the sender of an email
Attach list items as email attachments
Without the custom activities, you could develop a similar solution, but you won't be able to attach list items (include links instead), or specify the sender.  The approval and request delegation process can be achieved using OOB Workflow Activities
    available in SharePoint Designer.

  • In Sharepoint 2013 Workflows, can a task be re-assigned?

I find that in SharePoint 2013 SP Designer based workflows, I can not find the settings to make the workflow tasks re-assignable.
This was possible in 2010, I can't find how or where to check off 're-assign task'.
    Thanks, Roy Kim

    Hi,
In SharePoint 2013 there two platform workflows, SharePoint 2010 workflow and SharePoint 2013 workflow. Which kind of workflow
do you want to create? If it’s 2010 based workflow, then to reassign task form is used the same method. If it’s 2013, then there only two task actions, assign a task and start a task process, these two actions can’t set to reassign the task form.

    Hi Amit,
According to your description, my understanding is that the error occurred when you assigned a task.
Did you install any CU for SharePoint?
If yes, after an update has been performed, several Windows PowerShell cmdlets must be run in order to maintain the connection between the SharePoint Server 2013 farm and the Workflow Manager farm.
    $credential = [System.Net.CredentialCache]::DefaultNetworkCredentials
    $site = Get-SPSite(<siteUri>)
    $proxy = Get-SPWorkflowServiceApplicationProxy
    $svcAddress = $proxy.GetWorkflowServiceAddress($site)
    Copy-SPActivitiesToWorkflowService -WorkflowServiceAddress $svcAddress -Credential $credential -Force $true
After running the command, re-register the workflow service to see if the issue still occurs.

  • Can I assign a task based on information from another column?

    For example:
Let's say I have a column called "Question Type" and this column has multiple checkbox choice, those being:
         Math
         Science
         History
         English
         Other
I want to allow users to be able to select multpile catagories for the question, like making one both math and science (which right now is completely possible)
I then want another column that says who the problem is assigned to. Bob is good at math, Joe at science, Jill at histroy, Jenn at English, and Billy handles everything else.
    1) Is there a way that the task can be automatically assigned to my math expert Bob when I specify that the item I am adding is a math problem?
    2) If I make a problem both math and science, can the task be assigned to both Bob and Joe?
    Thanks in advance!

    Hi,
According to your post, my understanding is that you wanted to assign a task based on information from another column.
To assign task to multiple users, you need to:
Create a workflow and add action: Start Approval Process.
Click these user, select the Group, change One or a time(serial) to
    All at onec(paralle).
Right click the action, select Properties, click ExpandGroups, change No to
    Yes.
Then you can assign task to each member of the group.
I recommend to follow the steps as below to achieve what you want:
Create a custom list, add columns: Question Type(Choice); Assigned to(Person or Group).
Create a workflow associated the list.
Add conditions and action as below:
Then the task can be automatically assigned to 123 when the item is a math problem.
In addition, if you make a problem both math and science, the task can be assigned to both 456 and 789.
You can add other conditions to satisfy all the requirements.

  • WorfFlow Agent Assignment at Task Level...

    Hi,
I have problem in Workflow agent assignment...
In agent assignment at Task (MM Invoices Parked/Posted) level, I have assigned a position(Account Payable)to AC Role...
Under this position, there are 8 users....
In the Workflow process,At this task level the work item is going to only one person inbox not all these 8 users...
Can you please advise me, where I was wrong...
    Warm Regards,
    Thirupathi....

    Hi Thirupathi,
There are a couple of things you can try:
    - Agent assignment gets buffered in HR, normally refreshed at midnight. Use txn SWU_OBUF to refresh them manually.
    - Are all agents also possible agents of the task or is the task defined as a general task?
    - (just adding the obvious) make sure your task is in status READY, else it would have been reserved by someone.
    Cheers
    Mike

  • How to assign approval task to a person who is not a member of the site

    Hi All,
I need to assign approval task to a person who is not a member of site but member of team site.
I know that if a person need to approve/reject task form should have atleast contribute permission.
Is it possible to assign contribute permission to that person through workflow using impersonate step?

You can assign permission through workflow using impersonate step and add list item permission. Few things to note here
    1) Impersonate step actually impersonate the person who last modified the workflow. This impersonation is similar to code impersonation. So you have to be careful that person who is creating this workflow does have permission to assign permission to others.
    2) You will have to assign permission to the list item (or list) where the item is as well as the task list item (or list) where your workflow task would be created. I think that would be Association: Task List when in SPD.
    3) If user does not have any permission at the site level then the only way they can access the item and/or the task item is through the link they would have received in email.
I am not 100% sure how permission assignment works from SPD when you list and list items are inheriting permission from parent so please verify that part as well.

  • Workflow Pattern FYI Task Issue

    Hi,
    BPEL PM version 10.1.2.0.2.
I am trying to create a workflow using FYI Task pattern. I have only one action 'Acknowledge'. The task gets created and shows up in the worklist application under my group, but the status of the task is 'Withdrawn' and no action displays for that task. I want the task to be 'Assigned' to the group and let the process continue. The group user can then acknowledge the task whenever. I used the workflow wizard to create the task.
Why does the task show up as 'Withdrawn' with no action list? Has anybody encountered this issue before? Any help is appreciated!

I'm also seeing instances of tasks arriving on the worklist and then being immediately withdrawn (bpeladmin) ?
The call to InitiatTask fails :

  • Is it mandatory to assign a task to responsible agents?

    Hello Gurus,
Iam new to workflow and i have few questions . Iam implementing CATS on ECC6.0 and in the data entry profile i have given the task ID  TS31000007,Now i want to assign this task to an agent,
    1. Is it sufficient to assign possible agents to the task through PFTC so that all possible agents can execute the workitem.
    2. Or is it mandatory to assign the task to responsible agents <b>also</b> through a rule.
    3. If i make the task as a general task can the perosn who entered working time can also approve it .
    Sriram

    Hello Raja
    My scenario is as follows
In CATS data entry profile i made the following settings
    With approval procedure
    Using business workflow
    Auto determination of a recipient
Task ID : TS31000007 - approval by a chief (supervisor)
Now i make the task as  general task ( possible agents).
I <b>dont</b> define a rule for the task in the defaults tab .
Now does the workitem go to all users?
and if i maintain agent assignment to a task through PFTC ( for example i assign the task to a user) and dont define the rule .
Does the work item goto that particular user only?

If you want someone to perform some action then you assign a task to them. like approvals, reviews or simply some information.

  • I have assigned standard task as General Task in agent assignment but why there is a red flag beside the agent assignment property in task property like the image below?

I have assigned standard task as General Task in agent assignment but why there is a red flag beside the agent assignment property in task property like the image below?

    Hi Atiq
    Now that's concerning.....!!!
This error usually shows up when the workflow is not able to resolve the outcome of the decision....no branch is there for the selected decision.
Since, the standard workflow is also going in an error....this is something wrong...
Did anyone play around with the standard decision task?
I am not sure if this will help, try generating the task and standard workflow by executing the FM SWD_WFD_REPLICATE_FROM_9999 from SE37 directly. First, generate the task (give full task ID TS00008267 as the input and execute; and then the standard verification workflow in the next exec).
Try and test again...if this works, generate your custom workflow again like this.
The above is a pure guess and I am not sure if this will work.

    Modak

  • Assigning Standard Task to Role

    Hello,
I am trying to assign Standard Task to Role from PFTC tcode->Agent Assignment->Create, then I am getting pop up there when I select "Role" then I am not getting any values.
What will be reason that Role is not displayed in the F4 help?
    Regards,
    Ansar Shaik,

    Solved like this.
    1. Created a Role
    2. On double clicking the Role you will be get new screen. There go to "Workflow" tab.
    3. click on "Workflow Tasks" button.
    4. Select Task from "Add Task" button.
    5. Save.
