Assigned and Committment Budget Control in AR

Dear friend,
Would like to find a solution for a business case for my company.
AR Credit Control Dept would like to implement a control for all Credit/Debit requisition (currently is through hard copy mannual)by key customer accounts for list of Advertising and Promotion within budget.
a) Credit/Debit Requisition to be log,
b) actual Credit/Debit issued to be checked again budget.
c) able to have flexibility to increase/decrease budget.
d) there are few programs for each key Customer Account
e) there are list of product brand to be promoted in each program.
f) Able to view an any point in time for the assiged, actual and balance budget for each Key Customer Account.
Consideration :
i) Currently we had already used IO to denote brand to be promoted but without activating budget control.
ii) IO may not be suitable as I cannot check for credit/debit requisition raised.
iii) this proposed module has to be in AR related.
Please enlighten me which would be the most suitable module to be explore in SAP R/3 4.6C ?

thanks for your respond. However your may have misunderstood my question... Anyway thanks a lot.
Basically, my users would like to track some Advertising and Promotion Expenses which currently is done at FI-AR. Promotion Expenses were claim by customers monthly and we wanted to control these claims as there is a capping to it. Very often these claims from customer were exceeded at year end.
I have done the following proposal :
a) using IO no, and Budget to monitor the promotion
   claims.
b) using PR to PO to show the commitment amount before
   actual (=GR) via IO no.
c) linkaged customer with vendor codes
d) contra customer with vendor line items
However, user wanted to list down :
1)the customer (=vendor) that has allocated with this budget. (how)
2) able to change budget (IO maintenance)
3) how to apportion by % for each IO to say 3 brand of
   products. note that i have already activated CO-PA in
   the system & IO is currently used as statically.
Would appreciate any advise...

    My client has two requirements which I have problems working on in SAP.
    1. How do we put the beginning balance of accumulated repair cost of each equipment? Example Equipment A had $ 40, 000 worth of repairs prior to the company's use of SAP, and this balance becomes the initial balance during repair cost reporting (thus if the first work order issued for that equipment in the SAP system costs $5,000, accumulated cost in cost analysis shatll be $45, 000 alread) .
    2. How do we implement budget control in Plant Maintenance, such that a work order that is over budget cannot be released? or needs to be approved by another more superior user before release?

    Andrew,
    I suspect the only way to do this without Asset Accounting is to create a bespoke ABAP report. You would also need a customer table to hold the repair cost/equipment data. Alternatively, if you have a cost object per equipment (say cost centre) then you could add this value to the cost centre. Either way I would discuss the issue with you finance team first.
    In terms of budgetting; this can be done 3 ways:
    - Investment programs (IM)
    - Projects and WBS (PS)
    - Individual maintenance orders (PM)
    You can set threshold parameters which determine if the order can be released..

    In SAP, we can use IO, PS, FM to make the budget. The budget control system is a sub-module of FM. If you want to get some config step, please kindly refer SAP Best Practises.

  • 02R96 and other Yamaha control surfaces - break Learn Assignment?

    Can someone throw some light on this:
    The 02R96 and other Yamaha control surfaces send out this Active Sensing thing, which is just a real, downright nuisance for all kinds of reasons.
    1) How am I supposed to get plug-in parameter assignments automatically learnt if the 02R96's active sensing keeps jumping in every second? Logic thinks that's the MIDI message I want to assign to my parameter! There doesn't seem to be a way of telling the learn process to ignore what's going on on a certain MIDI port. Result: can't automate my plug-ins. There seems to be no way of doing it.
    2) Another thing about active sensing - you can't get Logic to just shaddup about it if the control surface isn't on. What if I want to keep my 02R96 turned off for some reason? There should be a Disable control surface button or something - anything to prevent having to remove the 02R96 setup entirely from the Logic session! Really not good...any thoughts or insights? (especially on the parameter learning stuff..that's a real show stopper)

    The Mackie Control support lets you edit all parameters of instuments and effects plugins. If you don't have a Mackie Control, you can also use John Pitcairn's LCXmu, which acts as a virtual Logic Control translator between your controller and Logic.
    I have a Korg microKontrol running with LCXmu, and it's excellent, way better than Logic'a native mK support, and you can access all instrument & plugin parameters, with the names coming up on the mK screens etc.
    Have a look at LCXmu at OpusLocus and see whether your hardware is a directly supported device. Even if it isn't, you can still use it, you just have to set up some manual mapping stuff, depending on what buttons etc you have on your controller.
    Otherwise, you are back to manually assigning parameters using Logic's controller assignments - but they are buggy.
    I have to say that LCXmu has completely solved all controller issues I had using the micoKontrol as a little portable controller. It's ace.

  • Budget Control at top level WBS only

    Hello All,
    I have a requirement from client where I need to activate the Budget control (90% warning and 100% error). I have done the setting accordingly.
    Now the scenario is such that when client is doing budgeting, they are allocating the budget only at top level WBS (they have a different legacy, where they are doing there detail planning n budgeting, but since they want the feature of budget control in PS, they will do minimal budgeting in PS). As per my settings when I budget top level WBS and save the availabity control is activated (with no budget on lower level WBS). Now when I try to do some postings/or assign that WBS to PO, even with a value of 1 USD, i am getting an error of budget exceeded, which is fine as per the settings as that WBS is having 0 budget.
    The requirement from client side is such that they want AVAC to be activated only at top WBS and do postings to lower WBS. But if the total of lower WBS exceed the budget of top WBS, they should get an warning or error. For example:
    WBS level  BUDGET ACTUALS
      1               100
      2                              50
      2                              50
    so as soon as the actuals touch 100, the system should give an error/warning. Note that the 2nd level WBS are not budgeted in SAP, so budget is 0 on them.
    I have 2 questions:
    1.Is it possible to activate AVAC only for top WBS ?(without any enhancement/development)
    2.How the AVAC will work, if the total of 2nd level WBS exceeds the budget of top WBS (as explained in example above)?

    Thanks Virendra, it was useful.
    I tried other way round also i.e. by not marking the release tab in OPS9 and activating AVAC in CJ30.It works in that way too.
    For my other question, regarding activating AVAC only at top level, we can achiebve that by using transaction control in user status.

  • Internal order budget control by year

    Hi,
    When using KO22 to key in internal order budget, we can key in total budget and yearly budget, but when the budget consumed, the value is only updated to field 'Assigned-total', it seems that it does not control by year, is it right? Any way to change this?

    Go to the T Code S_ALR_87013019. Insert the order no. If assigned field is not emplty then Actual or/and commitment field must contain value.

    Dear Anis,
    Create Statistical IO and assign budget to them. Then at the PO enter A at the Account assignment or K and you enter the IO number.
    If you want the system to check for budget go to SPRO -> Controlling -> Internal Orders -> Budgeting and Availability Control you define Budget RPofile etc and at the selection 'Define Tolerance Limits for Availability Control' you define for you Company code how the system reacts during PO creation. You give tolerances to display messages if the budget is close to depletion etc
    Bare in mind that PO create commitments and when the invoices are posted the amount becomes actual. You can check report S_ALR_87013019.
    Hope it helps. Generally i have used it, it is very good solution and easy to implement.

    Presenly we are using Former budgeting.Now we want to go for Budget controll system (BCS).Now our doubt is whether we have to convert  the former budgeting to BCS.Or we have to go for fresh implementation of BCS. For your information we have not migrated to ECC6.0. Only technical upgradation of ECC6.0 is completed.Kindly advice.

    Hi, depends on your business requirements.
    Do you want to use Addresses(means not 1 to 1), AVC, Revenues Increasing the Budget, Cover Eligibility, Consistency Check etc.
    If former budget satisfied your bus. requirements , and you just need e.g. new account assignment(eg funded program), then may be there is no need for new implementation, just some correction

  • Plant stock procurement with budget control

    Hello,
    Our client has centralized stores which caters to FOS (Factory Operating Supplies) requirements of various projects and departments. Some of the FOS items include u2013 Wielding rods, Personal Protective Equipments (PPEu2019s) etc. These are procured at plant level.
    We have following requirement u2013
    1)     Above mentioned FOS material should be procured as Plant stock with budget control
    We have following queries regarding this requirement u2013
    We want this material as plant stock which will be issued as per requirement. If I create PR, PO without account assignment, there is no budget control. 
    If we procure this material against cost center, material do not come in stock.
    Please guide for solution.

    If you have PS implemented
    then you can use account assignment category Q in PO and WBS element which will control your budget
    Or Go with value base contract or Quantity base contract with vendor so you can control it

  • Project-Internal Order Budget Control

    Concerning on the Internal Order Budget in SAP, we have the following questions & need clarification :
    1) Since the promotion involving SD module, could we enhance the SD module with Internal Order functions & budget control as well? According to the SAP help desk documentation, its possible, pls provide guidelines.
    2) I've checked on SAP helpdesk that budget data (including sales & promotion) could capture in COPA via I/Order & pricing conditions. Could we use budget cost in COPA to control the sales & promotion posting in SD module ? pls provide guidelines. We had just implemented COPA with plan but not budget. Could we add this budget as new value field ?
    3) I/Order can be updated through different cost elements but would system allow us to control budget by each cost element but only using one for all the cost element ? According to the helpdesk, we could split the I/Order budget by cost centres, transaction group or budget object. Does this similar to our requirement ?
    4) I/Order Budget will control the spending by actual posting data or commitment ? Could we control both at once ? Example :
    Budget             500k
    Actual posting     300k
    Commitment     300k
    Budget              -ve 100k  not  +ve 200k
    5)  Concerning on the issuance of Credit note requisition (CRQ), if we using manual process as entry as Park document then post to FI (currently) and not using PR/PO process, then, how would we have commitment data ?
    6)  During year end, we may need to perform closing and carry forward the I/Order budget and commitment balance to next fiscal year. Does this mean that controlling need to perform period close also and order settlement even its statistical I/Orders ? we didn't practice this in controlling currently.
    7)  I/Order budget is control annually. Once the budget I/Order completed fully, it cannot be used again. Hence, does this mean that we need to have different set of I/Order for different year?
    Please feedback to us the above soonest possible.

    Lot's of questions;
    1) At the time of entering a sales order you can enter an Internal oder number as well. That then could be used as part of a tracking process.
    2) You control the budget by setting up availability control. Then at the time of entry it checks against the budget to see if you are within you tolerances. Youn can also have reporting in COPA to compare actual to plan and budgets. But there won't be the availablity control. It will be analytical reporting instead.
    3)The budget for internal orders is one total. You won't be able to set it up for different cost elements there.
    4)The availability control looks at all the components. Yes you can control both
    5)The credit will be picked up when posted as an actual posting
    6) You will need to do carryforward for all I/O.
    7) You can set up the budgets to be for a particular year not overall for I/O.

  • Error while assigning Operating concer to Controlling Area

    Hi...
    while I am trying to assign operating concern to controlling area, the system is showing the following error message.
    Diagnosis
    Controlling area 7500 and operating concern 7500 have different fiscal year variants (01 and K4). However, for cost center assessment, settlement, and many other types of postings to Profitability Analysis, the controlling area and the operating concern must have identical fiscal year variants, otherwise error messages or serious data inconsistencies can occur.
    But i already changed fiscal year variant from K4 to 01 in Operating concern and i run the generate operating concern environment also. still the system is showing the same error message.
    Is there anything more i need to do after changing fiscal year variant in Operting concern.
    Please help me.

    Budget control is one part of Project System.  Normally we have two types of Budgets one Budget for CAPEX and Budget for Over Head expnes.  Max companies PS will take care by the Budgets.  If u need any information let me know.

    For activating Budgeting
    In OKKP activate the Order management active for the budgeting in orders
    Commitment mangement active for the commit manaement active.
    Activate which all the area you want budgeting,Ex Projects,Sales order,costing object.
    Define Budget profile in OKOB.
    IN KOAB maintain the assignmnet of budget profile to order types.
    IN KOAO activate the commit management check box against the order types.
    Define the tolerance limit for the budgeting.
    Maintain number range in OK11.
    Now create any internal order & assign budget in KO22 transaction,check the same.

    Moderator: Yes, it depends on the Update Profile. Please, read help.sap.com material for PSM-FM

    Example of payment budget
    Use update profile 101 and you will have a payment budget. this means:
    earmarked funds (reservations, precom, com) are updated in the FM ledger payment budget
    real (invoice and payments) are also updated in FM ledger payment budget. Attention. if you are in release before 5.0 you have to run RFFMS200 program in order to see the invoices paid. In ECC 6.0 it is online if you are a new FM customer.
    Via MM   PR, PO, GR, invoices MIRO and payments are also updated in FM ledger payment budget
    Example of parallel ledgers commitment budget and payment budget
    You can not use only commitment budget ledger if you want to see your real invoices and payments
    Some clients like EU and others use separate FM ledgers. Then you have to enter twice data in the two ledgers.
    Then they use update profile for this like 500 or 350(please check).
    Commitments (earmarked funds and PR, PO) update the ledger commitment budget and invoices and payments are updated in ledger commitment budget.
    Hope this is a litle bit clear.
    Before implementing FM it is important to ask what your client wants and ask if you don't know the best update profile to use to SAP AG

    Hi Eli,
    After some research, I found out that the simplest way to control POs on multi-annual basis, while control Actuals on annual basis is:  To define 2 Availability Control Ledgers - 1. With Annual Checking Horizon and exclude Value Types of Commitments .
                                                                                    2. With Overall Checking Horizon for all Value Types .
