Availability control (AVC) question

Hello experts,
I have the following business requirement that I need to implement in AVC. Even though my requirement pertains to the Grants management module, the concept should be the same as FM AVC - so all FM gurus, feel free to pitch in:
1. Client wants budget control at the sponsored class (budget expense category) level over the duration of the budget.
2. Client wants budget control at the entire grant budget level over the duration of the grant.
For example, if there is a $100 grant and of this, $40 is dedicated for supplies and $60 for personnel. So, warning/error messages should be displayed when: a) the total expenses meet or exceed $100; and b) total expenses for supplies meet/exceed $40.
If you could guide me as to how to configure this, that will be very helpful.

  • Question about project plan value and  availability control

    dear expert:
    I had built a project, and with CJ30, Allocated budget is 10000, in one of  WBS element.
    I created  a network and internal activities,
    when I  assiged a material component (Res + PR) and system can be saved even if the total plan cost value is crossing the budget value.(There is no PR created, now. )
    But, Budget checking is showing error message that budget is exceeded when I created any external service activity and crossing the budget value.(There is also no PR created, now. )
    My question is: what is the difference of the two plan value? Why one is relevant to the budget,and the other is not?
    Note:1) the tolerance limit with ++ (all activity groups), usage say 100% & action 3 (error) to the budget profile. The budget prifile is considered with only overall budget.
    2)In tables COSP, "value types" are all 01 (plan), but VRGNG field values ​​are different, components plan is: KPPE
    Service activities are: KPPP
    3)in CJ30 u2013 Extras>> Availability Control>> Analysis. I could see the following in red colour, these values system not considering into account.
    Entries in this color make no contribution to the assigned value!
    V: Value type not relevant ( Act./Plan/Stat.Act./Stat.Plan/Commt)
    D: Delivery
    S: Settlement to object with no budget control
    R: Revenue cost element
    C: Cost element is exempt cost element
    M: Minimum from actual + commitment and plan per order value update
    P: Plan value is not on apportioned order / network
    B: Plan Costing Single Position
    S: Funds Commitment in Balance

    Hi,
    Its not per item category. If  N or L sytem will check the budget if in your system if proper GL's are maintained in OBYC settings BSX and GBB > VBR nad cost elelemtns are created for them. for this you have to cosult with your MM / CO consultant.
    PS is highly inteergratd with CO and all values are updated per cost elements. If values are not updated in cost elements then budget chek wil not happen.
    In you case for material values may be updated in cost elements due to improper OBYC setting so budget check was not done.
    Chekc your OBYC setting and try to create material PR system will check for the budget.
    Check and confirm.

  • Purchase Requisition Committment and Availability Control

    Hi,
    We are using availability control based on usage 1 i.e. during the budget allocation/release, the availability control gets activated.
    Now i have poject structure where a user have already created PR i.e. committment of 10000 USD and whereas i got an budget of 5000 USD. So when i go in CJ30 and CJ32, then system is not allowing me to release the budget as the existing committment is greater than the budget.
    My question is that do this PR committment is to be considered as Real comittment. My understading is that if there is no budget then the committment of any type should not be allowed at first instance. How generally it works?

    Rajesh, Not everybody will use the budgeting functionality for Project, So it is not forbidden in Std. SAP design. But, if you want to forbid posting of committment cost or actual cost before budgeting, then read these notes
    Note 599813 - Availability control before budgeting
    Note 602588 - Availability control before budgeting
    Follow the suggestions mentioned in the note.
    Is there anything by which we can avoid the committment creation by using the user status on WBS element (even though the commitment is created at activity, it gets rolled up to the parent WBS)?
    As Gokul mentioned, you can restrict creation of PR on WBSE by User Status, but you cannot restrict rolling up of Commitment cost from activity to WBSE by any user status.

  • Payment Budget Exceeded - Availibility Control

    We are trying to save a Purchase Order which is using a commitment Item, and get a error "Payment Budget Exceeded"and above this error it says Availability Control".
    but when we check the budget allocation against this commitment we find enough amount available.
    how do we get around this problem?

    in this note he mentions :
    If you think the available budget amount is not correct, please run report RFFMAV01 (RFFMAV01X) or RFFMAV02 (RFFMAV02X) to check
    If the 'Assigned budget' is same as the 'Commitments/actuals', if not, you must run report BPINDX03 first to correct it.
    IN report RFFMAV02X the assigned budget and commitments/Actuals were not matching, I ran this BPINDX03 and all was done.
    Basically it recontructs the AVC.

  • Can Budget Availability Control be turned off at WBS elements Level?

    For Project and WBS elements, we activate the budget  availability control in the budget profile and assign the budget profile to the Project. So once we budget one WBS elements under that project and release the project, the availability control is active for all WBS elemens under this project.
    My question is whether we can turn off the availability control for one WBS element under that Project and let the availability control on for the other WBS elements under that project.

    Hi,
    I doubt if this can happen. CJBW will deactivate avalability control for entire project. Try OPSX for that particular WBS, it will reset budgeted status. Not sure if this will help, try and confirm.
    One more way could be assigning userstatus to the WBS and restricting 'Availablity control' by that status. This option looks more practical.

  • Availability Control for MIGO

    Hi All,
    We have implemented Funds Management recently at our organisation and certain POs created before FM implementation allow the MIGO entries to get passed even in the absence of any budget amount. Some important pointers here are
    1. Note 696362 has been implemented (BADI IM_BEHAVIOUR is already present)
    2. The account assignment happens properly in the MIGO stage and budget gets reduced even in the case of zero amounts with  no error message thrown in as should be the case.(And a resulting negative consumable budget)
    3. The Availability Control error message occurs for ML81N transactions (Service Entry Sheets) in the case of zero amounts
    4.  The SES_OVERWRITE flag was checked in the FM01X table recently.
    Can someone point out as to how the AVC can be activated for MIGO, given that the budget amount gets reduced (implying proper account assignments probably) and also that AVC messages are triggered for ML81N transactions which is similar to MIGO ?

    Dear Minghong Ji,
    The activation status of the availability ledger is "Active with usual check logic". I changed it to "Active with soft check logic" and "Active with strict check logic" and also "Active with strict check logic for document chains", but of no avail.
    But with the implementation of notes 142866 and 755495 provided by Gustavo Cordeiro, the issue was resolved yesterday.

    Hi Nabheet ,
    disabling the Button wont solve the problem , System automatically do availability check based on the stock and scheduled delivery date , if no sufficient stock then system will  propose new schedule line dates....
    so disabling the Button wont stop doing all these checks........it needs to be done thru config/E Spot which will skip all these validations...

  • Delivery Proposal is DISABLED in Standard Order Availability Control

    Hi Experts,
    Please help me solve my issue, I almost checked everything under SPRO>SD>BF-->Availability Check, but still cannot resolve my issue.
    Following are the symptoms of the issue that I'm encountering:
    Material cannot be confirmed (even though there are stocks)
    Complete Delivery, Delivery proposal & One time delivery are disabled in Availability Control Screen
    Here are some of the relevant configs which I checked:
    OVZJ entry for sales area is C (Delivery proposal)
    Checking group maintained in Material Master
    Any ideas please? ANy help would be much appreciated!

    1) Check the reservations for the material in MD04. The available quantity might have been confirmed for earlier sale orders and hence reserved for those sale orders.
    There are 11,000 cases in unrestricted stock. No reservations for the material.
    2) Check the inhouse production time in MRP2 view of the material master. It should be filled with production lead time.
    Done
    3) In OVZ9, the checkbox "check w/o RLT" is unchecked.
    This is our current setup
    Net, issue is still there.

  • Due to NAS issues, when I started a new time machine backup it did not have the old backups available. My question is do I need to delete them or will time machine automatically reclaim the space?  Only one Sparse Bundle, same name.

My question is do I need to delete them or will time machine automatically reclaim the space?  There is only one sparse bundle but when I enter time machine I don't see my historic backups.  I use a synology DS212 for my time machine.  Started a new backup which is 218gb but it says 618 gb is occupied  therefore it looks like 2 or 3 backups are still on the disk. Before my NAS issues the last backup was in 2014.  As you can see there is a second sparse bundle from 2012.  Not sure what that is.

    This is an old message now, but what happened to me similarly was:
    I had a major computer crash and through complicated pathways ended up reinstalling (Mavericks) as a new user (long story).
    At least I had good Time Machine backups on an NAS drive (Synology DS212j), or so I thought - when I started Time Machine up again, the old backup file was gone, replaced by a new one using my "new computer" name. The old file was gone both by directly mounting the NAS drive and by clicking "Enter Time Machine".
    It's like I had {OldShareName}.sparsebundle and then it was replaced by {NewShareName}.sparsebundle, all of the old info vanished.
    (I have spent a week finding old files elsewhere and have completed a satisfactory self-restore. It pays to "archive" [my own variation of] as well as "back-up".)
    My belief is that if this were a wired-netword-drive, e.g. plugged right into my iMac with a USB cable, then the old file would have remained.
    But this is an NAS drive, connected directly to my Airport wireless router, and I don't know the significance of the fact that it stores its Time Machine backups as "sparsebundle" files rather than simply as plain(er) files.
    As usual when things get complicated with computers (not just Apple computers) there was never a warning message. Something like "YOU'RE ABOUT TO DELETE A TIME MACHINE BACK-UP FILE!!!" would have made my life a lot simpler.
    BTW, I did try a "restore from Time Machine" option the first thing I had my "new computer" (old hardware, 2009 iMac) up and running, using Migration Assistant, and it ran for many hours and then failed in the wee hours - what that has to do with anything I'm not sure.
    I'm not sure that I have a question about this other than "why do these things happen to me?", but it's a warning. Apart from that I've been very happy with the stability and reliability (but not the cost or set-up complexity) of NAS vs. directly-cabled external drives.

  • Warning Messages related to Reconstruct Availability Control for Project

    Hi Gurus,
    In Transaction IM52 - Change Original Budget for Investment Management Program, after changing the Budget Values of Investment Management Position and when we check the transaction for error, we get Warning Messages, the warning message is as follows:
    You Must reconstruct the availability control for Project P.000XXX.
    We tried to reconstruct the Availability Control in Transaction CJBN and again checked for errors in IM52, then also we get Warning Messages.
    As these are only Warning Messages we can ignore and save the modified budget values for the Investment Management Program.  But we want to know whey these Warning Messages are keep on cropping up inspite of reconstructing the Availability Control for Project.
    You inputs on this will help us immensly.

    I am also facing the same issue.
    Even if i am having enough budget, while making a PO, the system says " Budget exceeded".
    i could processs the PO, after performing CJBW (deactivate), CJEN (refresh) and then performing CJBV ( activate availabilty control) for that project.
    This is repeating everytime i make a PO. is there any permanent solution?
    Even after performing all the above, if i check in IM52, and check for budgets (perform from menu), the error is " You Must reconstruct the availability control for Project P.000XXX"

  • Availability control on statistical WBS element

    Hi everybody,
    The issue deals with <i><b>availability control on statistical WBS element</b></i>.
    <u>Part 1</u> : I released 25000 as budget (CJ32) for a <b>statistical WBS element</b>.
    Availability control is active for this WBS element.
    We made a good receipt (MIGO) for 20000 on an AUC (asset under
    construction) - so we get the value as statistical value on the WBS
    element -, then invoice verification (MIRO) and finally the asset
    transfer (ABUMN) from asset under construction to fixed asset.
    On this statistical WBS element we get +20000 (MIRO) and -20000 (ABUMN).
    The problem is that the amount that is used for the availability check
    is 0, instead of 20000 as you can check !!!
    We set a budget on the statistical WBS element in order to have the
    availability check ... and this is not working as the system in the described case shows 25000 as available but for me we should have only 5000 (= 25000 - 20000).
    <u>Part 2</u> : This is working perfectly (I get the expected value for available) when we use a <b>"real" WBS element</b>, put an expense on it, then run the period end closing tranction CJ88 in order to transfer the cost on an AUC, and finally run CJ88 again in order to transfer from AUC to fixed asset.
    Did anybody already encountered this problem with statistical WBS element ? How did you solve this (we would like to keep our statistical WBS element) ?

    I have not faced this but as far as I remeber for AUC Statistical assignments have some limitations.
    Any specicfic reason for keeping the WBS Statistical? Are you able to see "0" zero on this WBS in CN41.

    my problem is i am going to creat availability control to order in 2012 i gave amount after order oerview also i gave amount but if we r not activate the budget control. because that is display mode.
    in ops9 we had given activat type 1.that budget profile maintain in order type also.but i am not able to activate the availability control. can u please suggest me how to activate.
    Actually my requirement is department wise budget control.when we are purchase any asset through po the amount will be reduced from that department. can u tell me suggestion this one also this is  correct way r funds management implementation is the correct way.

    The Availability control will activate automatically when you enter budget in the order.

  • Exempted cost element not working for budget availability control

    Hi,
    I have configure the exempted cost element in our sandbox client. In the SAP IMG menu Project System -> Costs ->Budget-> Specify exempted cost element I maintain the following entry.
    COAr      cost element        Origin Group
    0200         433010                     *
    Then in the material master of a material I maintain the origin group in costing 1 view as 001. Then I do a material issue against the network of a WBS in MB1A tr code mvt type 281 and post the cost to the cost element 433010. As per the exempted cost element logic this should not affect the budget availability since the cost element 433010 is define as an exempted cost element. But the system shows actual incurrence for this transaction and reduce that must amount from the budget. I check this is the S_ALR_87013558 report. To re-ensure I do the Project Info database rebuilt in CJEN tr code then activate the availability control in CJBN but this is of no use. The S_ALR_87013558 still shows the budget available as total budget minus the cost incurred in the cost element 433010 in the above transaction.
    Please let me know if anybody has configured the exempted cost element in their client and have resolve this issue.

    This is a std SAP Functionality and system should exempt the costs for the cost element maintained in the Configuration for that Controlling Area.

  • Project Availability Control

    Hi,
    I would like to confirm if availability control / check happens only at actual posting level or also during commitments and other trigger points?  Please also advise where to set the proj availability control for different trigger points.

    SAP as provided different business transaction groups to control budget at different levels (PR,PO, FI Postings etc).
    Please refer Note :628978
    Glimpse of the note:
    Business transactions are assigned to a business transaction group in the availability control. You can define tolerance limits for each budget profile for the availability control actions in the various business transaction groups. It is not clear which business transactions belong to the individual business transaction groups of the active availability control.
    Business transaction group 00 (Purchase requisition)
    Business transaction group 01 (Purchase order)
    Business transaction group 03 (Goods movement)
    Business transaction group 04 (Financial accounting document)
    etc.
