Status Change activity to Rejected in E-Recruiting

Hi,
The letter is generated whenever we do the activity: Decline Candidate (status - Rejected) in E-Recruiting. 
Decline Candidate is a status change activity, there is no email configured to go out when it is selected.
The Smartform going out is 'HRRCF_CS_APPLICANT', any help on this will be greate.

Hi,
the situation you describe indicates a customer workflow, if you are in a release 600 EhP3 or lower. So you should check for workflows linked to the ActivityCreated Event of BOR object type ERC_ACTIV.
With EhP4 there is the posibility to create the correspondence activity together with the status change but this should be visible in the frontend.
The HRRCF_CS_APPLICANT smartform is the reference for simple correspondence for the classical letter chage scenario using the web editor. If this is send it s usually caused be a correspondence smartform with a wrong interface. In this case e-recruiting sends this reference smartform.

    Dear Experts,
    I need to understand a few things about performing activities on candidacies(Object NE) . Please help me out in the following queries :
    We are implementing eRecruiting 603,specifically succession planning.
    I have created some custom activities (of type status change) & assigned them to some cutom created processes.
    In the BSP page, the list of candidacies NE for each NB is shown.
    The various processes (custom as well as standard) are also shown on the screen as different tabs.
    I have one Z activity Assigned to object status "intended as successor" and another assigned to status " rejected".
    1) To begin with all the NEs are shown in the ALL tab.If i perform any status change activity(intended as successor or rejected), the NE completely disppears from the screen (even from tab ALL) . Is this the standard expected behaviour ? There is a Process called "Rejection".But the Rejected NE is not shown in this tab. Is there any way i can show the NE under the Rejection tab? The same happens for status "intended as successor".
    2)Is this how all the status-change activities behave on screen? The NE is not shown on the screen but the changed status is reflected in the table 5139
    3)At the end of the process,for a NB,how can a succession planner see the NEs with status "intended as successor" if the NEs disappear from screen on performing this activity.
    Any assistance and thoughts on this will be invaluable.

    Hello Sowmya,
    I think the SAP customizing mght tricked you a bit. The status of the candidacy which you set with the status changing activity has nothing to do with the tabs in the screen you are talking of.
    The Tabs result from the processes (or process steps - wording is not very clear here). Either you see all processes that are assigned to recruiting or succ planning or if you have assigned a recruiting plan to the requisition you will have tabs for each process(step) for which are activities in the recruiting plan.
    The candidacy is counted on the tab in which its most recent activity is in. So the status change activity rejected and the process rejected have nothing to do with each other directly. Only if it is the most recent activity of the candidacy and it belongs to the process reject the candidacy will be counted on the tab.
    If the candidacy disappears at all this results from the filters you set in the upper area of the screen. In the recruiting candidacy list the default filter restricts the candidacies shown to "in process" that might be the reason why the candidacies disappear after status change.

    some general thoughts at the beginning:
    Candidates do not have a rejected state. Candidate states are profile locked and profile released. Only applications and candidacies have a rejected state. It is very important for a technical view to have the obect types in e-recruiting very clear or you will get into big trouble sooner or later.
    SAP delivered workflows are examples. They do not fit a production environment. Also the sap delivered activity and process customizing is an example (and no good one) you will have to design this according to the business needs in the project.
    For the workflow question. It is possible to trigger a workflow by activity creation and activity completion. For status chage activities ths is the same as they are completed directly and never have status planned. The BOR object ERC_ACTIV contains both events, activtycreated is triggered directly, activitycompleted needs a note to run properly.
    It is also possible to trigger a workflow by a status change of an object. The super BOR object ERC_OBJECT contains a statuschanged event, which is raised for all status changes of NA, NB, NC, ND and NE objects.
    For rejection there are basically 2 scenarions.
    Scenario 1
    When rejecting a candidacy by creating a rejection activity you trigger a workflow based on the activity to create the corresponces activity automatically. You can either send it directly or just create it to allow the user to have an individual text. (I do not go into details of this workflow according to the chosen application-candidacy-relation, that would go to far at this point).
    Scenario 2
    When rejecting a candidacy directly in minimum data entry you do not have a status change activity as the status is set directly. In this case you have a workflow which is triggered directly by the status chang which again creates (and sends) the correspondence activity.
    Of course you need checks to ensure the two workflows are not mixed.

  • Reporting on SR Owner Change, Activity Due Date Change

    We have few Report Requirements around Audit Trail. We are looking for Reports where we could Track Service Request Owner change, SR Status Change, Activity Due Date Change etc. As we know, In CRMOD Analytics, we cannot report on Audit Trail or use the PRE() function. Can anybody suggest any other ways for reporting on the Changes where we could show each and every change made to these fields and not only the previous values.

    Lets Say you want to track status Change in SR. There are two ways of doing it.
    Option 1:
    Create a Long text field in SR page.
    Name it "Track Status Change". Do not Display the field to the users.
    Default the Field to Initial Status+","+Now().
    When the Status Changes, you need to append the field with "Current Status"+","+Now()+";"
    The Semi Colon is delimiter to show that this is the new status. This delimiter would be used in the report to seperate the status. You can achieve this using the reporting functionalities.
    The down side of this is that it can affect the performance of report since lot of Sting functionalities would be used for the tracking.
    Option 2
    Whenever the status changes, create a completed task. Populate the Subject of the task with the Status. Put a workflow/field validation so that no one edits the subject when the task is created automatically.
    You can run a report on the Task Created Date and Subject to get the Audit Trail.

  • Problem with Restricted Recruiter Requisition Status Change Approval Proces

    Hello,
    Our company is having a problem with Recruiters recieving any approval notifications for requisitions where the status change is performed by someone logged on as a Restricted Recruiter.  The approval notification never appears in the Recruiters approval page.  The Restricted Recruiter is able to submit the request without any problems.
    I was hoping that someone could help point me in the right direction so that I may begin troubleshooting this.

    I have been doing some digging on this matter on E-Recruiting workflow and have discovered transaction SWI2_FREQ (Work Items per Task), very useful.  Upon running this utility I found 8 pending approval request tasks.  I double clicked on the task to show the workflow status of each task.
    I double clicked on one of the request for status change tasks for a requisition which took me to the approval request for status change of Req ########.  Here I clicked on the activities tab selected the activities tab, selected the activity Approval request for status change of Requisition ######## then clicked on the execute icon.
    Doing this opened up a new web browser and prompted me to login.  Using the correct login credentials for this environment I click the login button and promptly recieve the error message...
    Error in Web service execution

    At this point I am unsure of where to go...
    Any help would be appreciated.

    You can deactivate a cube by deactivating one of the infoobject in it:
    select one of the char in the cube
    menu option Extras/Unlock infoobjects
    The system will offer you to delete the cube content.
    If you agreed, the cube becomes inactive.

  • Batch status change with UD

    Hi Everybody,
    I have a question about batch status change while taking UD. I understand that stock posting and batch status for each UD code is decided by the value in 'Posting proposal UD' field in Selected Set settings. I understand that I can customize the movement types for the values (eg VMENGE01, VMENGE02 etc) in config. But that is only for stock posting. From what setting is the Batch status decided eg. If we approve, the batch is unrestricted and if we reject it is restricted.
    Can I customize those values which are available in the drop down in the 'Posting proposal UD' ? Can I create a value of my own ?

    execute tcode QS51
    you will be able to see 'Posting Proposal UD' in "Selected Set ". Now select that line (Posting Proposal UD line). Status for Posting Proposal UD should be "Released"
    After selecting that line on left hand side there is " Dialog Structure " in that there is " Selected Set Code " Click on that.
    Complete list of code will come you can add and modify those codes.

  • Status change from 'Completed' to 'In Process' not allowed

    When configuring Appraisals in R/3 we want to change the  Status of 'Completed' when pressing the 'Reject' button so that it moves to the Target Status of 'In Process'
    However, we are getting an error message:
    Status change from 'Completed' to 'In Process' not allowed
    The SAP help states the following:
    In Process (only if final appraisal or part appraisal is defined)
    This has been defined at Template Level.
    So I don't understand why we are getting the message.
    Does any one else know of a way to configure the Appraisal template so that after it has been 'Rejected' it moves back into 'In Process'

    Ah, sorry, there was so much talk about user decisions that I assumed you were using a standard decision task.
    Still, I would be extra careful of changing the way workflow usually works because you have an unknown target audience that are based on the standard.
    The standard SAP philosophy is quite simple: cancel/F3 or do nothing and it stays reserved. If you do not want it reserved, you need to perform an action. This is based on a majority of processes: in most cases when you execute a work item you will also be the one who is going to completed it. Replacing it is the lesser used of the two alternatives, therefore it is the only one that requires an action on the part of the user.
    Again, this is intended as constructive input. Strange quirks and unusual behaviour tend to add a black mark to software if they do not make things easier to use. In many environments users are not even aware of the reserve/replace business, so there you would be adding an additional layer of complexity.
    Personally I would find an exit popup annoying as a regular workflow user - regular decisions can be approved with one click, or I can back out with a single click if I need to make a phone call or look up some info before approving - but with this new-fangled thing I've got an extra button to click and an extra thing to think about. This is especially the case in a payment approval scenario where you may have users in some departments who may approve hundreds of payments each week.
    My suggestion would be to leave it like that. By all means put an option into the user decision to put it back or to 'un-reserve' it (and loop round if the user chooses it). That way you are adding value and not clicks.

  • Error "Status change from READY to COMMITTED is not allowed"

    Dear experts,
    once again SAPs workflow environment drives me crazy with mysterious error messages.
    Some time ago I posted a question here concerning the problem that I cannot put back a workitem by using function module SAP_WAPI_PUT_BACK_WORKITEM due to a lock on this workitem which has been set right after it has been double clicked in the business workplace workflow inbox:
    [How can I put back a workitem before I'm back in the business workplace?;
    Since I do not want to dequeue the lock for the workitem in my application (where the user finds the appropriate detail information along with the function buttons for approval, rejection and F3/BACK) I tried it with calling a POPUP_TO_CONFIRM ("Do you want to put back the workitem?") directly from within the BO-method, right after returning from the FM that called my application. From here (the popup then shows in front of the business workplace instead of the application) the locking doesn't seem to be a problem any more! But whatever I do after the users decision to put the WI back - calling the FM SAP_WAPI_PUT_BACK_WORKITEM or trying to leave the method with macro EXIT_CANCELLED - leads to the error message "Status change from READY to COMMITTED is not allowed" and the workitem changes to status ERROR, too. This message seems to be bull***t, since the status of the item is supposed to go back to READY.
    Does anybody have experience to help me on that ?

  • BPEl Human Activity Issue - Reject case is not working

    Hi All,
    I have bpel processs. It is works like this:
    It has a human task for approval from manager with ACCEPT or REJECT as outcomes.
    Once the manager Accepts the request, the initiator (say applicant) should get a email updating the status as accepted.
    And when the request is rejected by manager, then the initiator(say applicant) should get an email updating the status.
    The problem is the human activity is working fine for ACCEPT and sending email. But struck up for REJECT outcome. It is waiting for task completion from manager, i mean completion of human activity even though it is completed as the manager rejected it.
    Audit activity log when Human activity got REJECTed by manager:
    *"waiting for "onTaskCompleted" from "TaskService". Asynchronous callback"*
    I tried the below things.
    1) Deleted the task form --> saved the process --> closed Jdev --Re-opened  JDev and created a new task form. Still the same behavior. Not working for REJECT case.
    Can some body help me in figuring out the issue.

    The issue was with xquery. I build it wrongly. I could find this from my domain logs.Then I corrected the query. Now it is working fine.

    Hi Gents,
    The requirement is that, there is trial Sales Order is there, which will not be invoice nothing will happen, it will just for trial...
    So what i need is that once that trial is expire (7 days assumption), is there any way that this sales order should not show in Open Sales Order.
    Rejection line item will not work for this as client not required.
    So what i am trying that, is there any way to change the OVERALL STATUS to COMPLETE manually. So that i can go for back ground scheduling.

    to create events from a status change use transaction BSVW see Maintaining the Assignment Between Status Change and Event - Roles in Workflow - SAP Library.
    use the event to start a workflow, after approval/rejection use a background method to change the user status.

  • IDOC confirmation and status change ???

    SAP friends,
    I have a question about IDOCS. We are implementing. In AP after processing payments, our bank will send us a text file which will have idocs number. and status number ( accept and reject).
    We have to update that status number for our idoc in the system and if the number that was rejected we have to send an email to everyone. How can we change the status of idoc using the file the bank sends us.

    Please explain the process detaily.  question is not clear.
    IDOCs are the intermediate documents, which carry information from SAP to Legacy or vise versa.
    IDOCs will be distingwished by message type. These will generate by Program.  In program please check about the status.

  • *Plant Maintenance: Urgent: User status ECUS active.*

    Dear Gurus,
    One of our customer wanted serial number obligatory in OBD in the repair process.So we made it mandatory in serial number profile.Afterwards he posted some documents.But now he is not able to process those repair orders.He is trying to create OBD and after picking when he tries to post goods issue, system is giving the error as ECUS status is active.And serial number so and so can not be used here.
    So again we changed serial number profile from mandatory to optional while doing PGI. still the system is giving the same error.We checked serial number against that material in IQ02. the status is Repaired. So we are not able to understand from where system is picking ecus status. Because the status of the serial number is showing repr not ecus. I am not able to understand where the system is picking ecus status from.
    So now his all repair OBD transactions got stucked because of this.Please suggest a solution on highest priority.
    He follows the process as given below.
    repair order in VA01.
    do inbound delivery where he has to put serial number which is mandatory here.
    PGR.
    after repair,
    OBD
    PGI.

    i think once you have delivered the material ,it will create the equipment master record record stating the status as installed at customer site,
    the status you have said i think is user status ,if so kindly change the user status and proceed with the above said procedure
