Budget Profile & Availability Check

Hi All
We have a requirement to control Purchase Order amount , so that it should not exceed the allocated Budget , currently the Error message is coming when we are doing FG delivery /PGI & we are converting PR generated from PS into PO
Please tell the complete steps (customization & Master Data Control Factors) for mapping the availability check of Budget when we are creating purchase order & not during PGI.

please check whether commitment is active for you in your CO area..
please also check the exempt cost element whether these costs are excluded from your availability check..
also check the transaction group maintained in the tolerance limit . better to select ++..

  • Budget Exceeded Issue - Activated budget profile for existing project

    Dear Experts,
    I have a Project and not using any budget profile, already actual data exist only in CJI3 no data in CJI5.
    Now I assigned Budget Profile in that project.
    While entering Budget in T-code CJ30, I can see values in assigned values for a wbs elements.
    Example -
    WBS Element - XXXXXX-02  - 2000 (Assigned) - Here Budget Profile not assigned in the project
    Same WBS Element - Once Budget Profile assigned, when am assigning same 2000 budget am getting budget exceeded issue.
    If I give 2500 I am not getting any errors, My tolerance as only Warning message.

    Hi Pavan,
    As soon you enter your budgeting fig the availability control triggers, this check your assignment with available budget.this the reason you are getting error as you say there are already actual posting in CJI3.In this you need to balance first the fig which is appear in assigned column in CJ30.
    Its a good practice to give budget first release it & then start procurement,confirmation etc.
    Check this in budget profile availability control.

  • Budget availability check: Partial releases

    Hi Experts
    I have configured budget availability check with Overall+Released.
    For the project, i have planned costs using network activities (Commitments are not created yet)
    These costs are updated as planned costs and assingned costs in budget overview.
    1) I am unable to maintain budget less than 100% (because of assigned costs)
    2) I am unable to release for lesser amounts (It is too because of assigned costs)
    This way, i am unable to use the functionalties of REVALUATION and PARTIAL RELEASE.
    Please suggest possible solution to make use these functions.

    Goto OPUV, uncheck the assigned value box for order category 20. This will make network planned cost not to be included in assigned value when the system status is CRTD, but once you release the project, the network planned cost will be included in assigned value irrespective of this setting.

  • Budget by periods and availability check (AVC)?

    HI ,
    Can we have Budget by periods and with availability check (AVC)?
    for ex: for
    WBS element 1 for January -1000 USD for Feb 5000 USD. And so on...Total yearly budget is 15000USD.
    And
    WBS element2: January -1500 USD, Feb 2500 USD and so on ...total yearly budget is 25000USD.
    If the budget Exceeds for the particular WBS element for the particular period then it should give message (error/warning/).
    Can we implement this in Project system?

    To give budget by period (Month ) is not possible in PS. Budget is annual / overall in PS. you requirement can be achieved by monthly you provide budget to WBS in the form of supplement.
    This way indirectly you can achieve the same.

    i'd like to know if there are some ways to have, inside customizing SRM 4.0 or 5.0, a Budget availability check. Now we work with a replication of SC in request of Purchasing on R3, in this way SAP works with its standard functions for checking Budget availability.

    Hi AB,
    the budget availibility check in SRM is a commitment posting simulation. Once you set up all the connection mechanisms in your SRM, you will check the budget, i.e. you will simulate a commitment posting into ERP or R3.
    This happens from the Form routine PROCDOC_CROSS_CHECKS in BBP_PD function group. You may deactivate the budget check completely -- just look for the right BADI BBP_BUDGET_CHECK on SE18. If you want to alter something in the 'correct behaviour' -- look up FM BBP_PD_COMMITMENT_FILL_ITAB.
    Just be careful - when you activate the iDoc BBPCO01 - you'll get commitments posted; here a budget check occurs as well, i.e. once there's no budget available, you'll get an error in transfer.

    Btw - I don't expect that much changes in SRM6.0 at that point.

  • Program position with any currency for availability check - PS/IM

    Hi,
    I have the following scenario:
    1. Controlling area currency is USD. Local currency is BRL. We do purchase req.(CJ20n) for materials and services in USD, BRL and EUR. The P.O. is done in a second moment through MM.
    2. Investment program uses USD for checking availability control. The currency for any program position is also USD.
    3. System performs the availability control using exchange rate cat. "M" in OB08. We buy within one of those 3 currencies (USD, BRL and EUR), it translates to USD, and then we see how much was committed in USD.
    Because of these differences between dates in exchange rates, the client wants the system to perform availability check with any currency.
    For exemple: if we have USD 1000 in program position on 04.15.09 at rate of BRL 2,40 we would have BRL 2400 to purchase. If the P.O. is posted in a different date with a different exchange rate we would have more (or less) value to purchase depending on the rate, say 06.15.09 rate is 3,0 we would have BRL 3000 in local currency.
    The client doesn't want this to happen. they want to commit only the first value.
    They want that in IM program position would have for branch XYZ 3 different limits, one for each currency say 1000 USD, 2000 BRL and 1000 EUR. When P.R. is done it would check what currency is buying, perform availabilty check and then commit only the value requested and avoid increase or decrease values in local currency.
    As long as I know IM standard doesn't work this way. Some thoughts and ideas would be a great help.

    I understand that you are doing availability control on USD (controlling area currency), although the statement in your point 2. should be corrected - the availability control is not tied to the IM program but to the budget profile used in the project...
    Availability control per transaction currency is not possible...you can have availability in controlling area currency, as you have...or in object currency (which for a project in your case would have to be local currency)...you can try this, but it only works if your project hierarchy is using the same currency (I just faced a similar issue and had to also use USD because the proejct had multicurrency WBS in it...)
    Bottom line...maybe you can try "adjust" the budget to the currency fluctuations with transaction IMCRC3...the idea would be to use a specific exchange rate type that has the current exchange rate and run this transaction to "trim" the budget to the real exchange rate...

  • Budget exceed even if Budget is available

    Hi,
    I am facing typical problem. Against the WBS budget report is showing the budet available, but when creating PO system is throwing erroe "budget exceeded". I checked PO value which less than available budget.
    I run CJBN, CJEN but after that also same error,

    If you have maintained the activity group "++" in the tolerence limit for the AVAC.
    then the PO value is also included in addition to PR.
    There are two options:
    1. Either increase the budget or
    2. Note: 955107
    Go to OPS9 In the Budget profile which u assigned to ur project, Check for Availabilty control parameters over there Overall Paramaters should be ticked. If not then make it selected.And reconstruct availabilty control thru CJBN then try out ur posting

    I am going for BCS from FB at the end of fiscal year, 
    Can you explain me, how i used the budget profile for blocking the next fiscal year,
    so that no one can entered use Former budgeting in next fiscal year ?

    Dear Nilesh,
    This is a situation that will not occur, whenever you implement BCS, former budgeting will be not active anymore. But you should consider a migration project this change to BCS.
    Please check the customizing settings and also the documentation available in front of each line of the path below:

    So with Checking Horizon configuration we can have the over all budget..
    If we mention the checking horizon as 5, then the budget will be spread across years. Is my understanding right?
    Is it possible to have checking horizons A (annual Budget) & O(overall budget) both.
    Presently i have assigned A for 9H availability control ledger. When I tried to assign "O" System forbids the transaction with an error message. I have not activated Commitment budget.
    Client has combination of budgets, there are some projects for 3 to 4 years and Internal deparmental budget for one year. How to meet this kind of budgeting requirment.

    What is the prerequisite of using the budget profile with action "warning with MAIL to person responsible" ? -Former budgeting
    Should we use workflow to use the mail/workplace?
    I ever set the budget profile with such action, however no mail receive to the user name of funds centre.
    If it works, how is the impact to system performance?

    Hi Lidwina,
    Please use the t-code of20 and select the action available (3) which is mail to the person.To state the name of the person who is responsible should be maintaied in the fundcenter.FMSA at USERNAME field.You should ensure that the person mail id is filled in at SU01 and the mail process is enabled(Check SCOT t-code.Basis or Abaper will be able to help you on this) for the mails are getting triggered or not.
    Profile is for two things like one profile is the main and if you want exceptions like no budget check for certain combinations of fund,fund center,commitment item (OF-23) then exception profile is required rather than the profile used in OF20.

  • Creation of Sale Order for configurable material with availability check.

    We have a scenario in which the material is configurable. The configurable material (X) has few variants (Ex: X1, X2, X3, X4, X5). While booking the sale order, we use the material number (X).
    Further, the material planning is done for the variants X1, X2, X3, X4, X5. The standard variants are planned for production in advance.
    1.     While booking the sale order, we want the availability check of the stock (type matching to happen). What needs to be done in configuration?
    2.     While booking the sale order, there is a possibility that the configuration selected will not match with any of the standard variants due to some additional requirements of the optional features, in such cases how to link the standard variants to the sale order & create requirement for additional requirements.

               1.Create material master for configurable material and variants in mm01.
               2.Maintain BOM for the configurable material in CS01
               3. Configur the variant configuration steps
                  a. Create charecteristics T.code CT04
                  b. Create values and assign classes
                  c. assign the values to charecteristics
                  d . Maitain dependence  T.code CU01
                  e.create configuration profile t.code CU41
                  f.stimulate the configuration profile.
    4. Do the availability check configuration through this path
    IMG --> Sales and distribution > Basic functions ,> Availabilty check and Transfer of requirements.
    5. Maintain the Availbility check field and MRP views in the material masters other wise you sit with PP people and do that

  • CRM Availability Check not working for certain Item Category

    Hi there,
    I have a situation where for certain order type/item category combinations, the availability check on the same material is not working.
    The check is set up to happen in SAP ECC.
    I have checked the config. under SPRO->CRM->Basic Functions->Availability Check->Availability Check using SAP ECC
    as per many SDN posts on this, and everything looks fine.
    The new item category, which was a copy of an existing one, works (i.e. gives availability) for certain order types, but not others.
    If I create the same order directly in ECC, it works correctly every time.
    I searched the code (from consultants who set it up originally) and can see nothing specific to the order type/ item category.
    I also put a breakpoint on AVAILABILTY_CHECK function module in SAP ECC - it is not being hit, in the case where check is not successful.
    Breakpoints in MV45AFZZ (Sales Order userexit) also not being hit, but they are hit for the Order/item category combination when it works successfully.
    Any suggestions on where else this could be configured would be appreciated!

    Hi David,
    One 'simple' reason for this could be that the copied item category does not have the
    ATP Profile set up in the item category in the IMG. Make sure you have an ATP profile assigned in the area 'ATP Profile' in the item category.

  • Material availability check be switched off for during dispatching of order

    Material availability u2013 can the material availability check be switched off during  dispatching of production order but kept when order is created? 
    Is there any implications on availibilty check.
    How can we do this?

    If you want to do Material Availablity Check only at the time of order creation , please choose Availability Check Business Function 1  with your order type  /plant combination .Keep No Check  in Capacity  and do not assing  the Overall Capacity Profile Here .
    Where as keep the Capacity Overall Profile for Production Order Type with Availablity Check  -2  and Mark No Check to material availablity  option in the same .
    In OPKP -make sure that you have Capacity Profile assinged and do not mark Confirm Partial Available Qty .
    How ever , in capacity requirement , material availablity is the intregrated part  and while dispathcing production order with in the available capacity of any operation in work centre , system tries to make sure the materials are available for processing just before actual operation starts .
    Check in CM21-Setting-Strategy -Dispatch Control -Check if you have option to un-check the Material Availability .
