Open item management - offsetting entry

hi all,
i do not understand the sentence below of the word offsetting entry.
can have the double entry example of what does it mean by offsetting entry.

There are certain entries , that have offsetting entry, ie - for evry debit there is a credit and vice-versa.These accounts are maintained on open item basis.One example will make u clear
GR/IR clearing account is an account that is maintained on Opem item basis.
when u received the goods against PO the entry is
Dr - Inventory account
Cr - GR/IR clearing account
Now this GR/IR clearing account need to be offset othetwise it will be shown in books of accounts unless and untill it is offset by a offsetting entr (here Dr entry as it is already credited)
After doing the invoice verification the entry wud be-
Dr - GR/IR clearing account
Cr - Vendor account
Now the account is offset and cleared.It will not come to the ooks of account if it is totally cleared
Similarly bank sub accounts(clearing accounts) are also treated in same way
If there is no offsetting entry for that, then there is no ned to maintain the account on open ietm basis

    It sounds like a reconciliation should be done or should have been done on the balance sheet account. If all the items (debits and credits) add together and net to zero they can be easily cleared like the previous posts indicate.
    If they don't net to zero and some material differences exist then a reconciliation is required which may in turn result if having to post additional journal entries to make sure the balance sheet account totals net to zero and the differences get posted to the correct account.
    As I have seen in my accounting years when accounts go un-reconciled for years and years, management may opt to write off non-material the differences.. such as when total debits are 105 and total credits are 100. In a case like this you would credit the balance sheet for an additional 5 and debit a miscellaneous expense account. When the debits and credits are equal you can clear all of them manually.

  • Fagl_fc_valu for open item managed accounts

    Hi,
    I have an open item managed account and I have activated the delta posting logic.  In January, an entry was made and not cleared.  The open item managed account was valuated at month end and an entry was posted to an adjustment account and unrealized gain.
    With the delta logic, I have not adopted the monthly reversal.
    Early in February, the item is cleared.  The document created posts an amount to realized gain and an offset to the adjustment account.
    At month end February, I run fagl_fc_valu and there are two entries created.  Effectively, they reverse themselves with entries to the balance sheet adjustment account and the realized gain account.
    First question, why do I get these two entries  In the text description, one says RXDAdjustment Posting.  The other says RXDTRAAdjustment Posting.
    Second question, how do I get the January entry to unrealized gain to reverse.  Will this need to be a manual entry or is there something with configuration that can fix this.

    As per the New GL design it is not possible to post an entry specific to non lead ledger  to a GL which is open item managed. The reason is very clear. In non lead ledgers we do not do clearing we only do adjustments entries. Clearing can only be done in a lead ledger. Ask yourself about making a payment to a vendor from non lead ledger. It is not at all sensible.
    What you need to do to handle this scenario is to create a new GL (if it is a B/S account then mark it as line item managed and in the text you need to mention that this account is specific to non Lead ledger postings. There is no way in ECC 6.0 to flag a GL for non lead ledgers only. Once you create this account you can post an entry to this using T Code FB50L. From financials standpoint you can club this new GL in the same group or number range where you have the same account with open item managed checkbox.
    SAP is working to extend the clearing functionality to non lead ledgers but I am not sure which enhancement pack will have this feature. Till that time you need to follow the solution as described above.

    Hello - The accounts used for inventory postings (BSX); should they be marked for open item management
    or not? Is there an adverse effect if the postings on this accounts are cleared?

    Let me know what is the use of "Open Item Management" in GL creation.
    I read abt it by clicking F1. But i didn't got clarity. I just came to know that it should be used for balance sheet items. That too there are many balancesheet items like bank accounts, raw material account for which it should not be used...
    So please clarify it on your own words i.e. what is "Open Item management" & where it should be used.... ?

  • Clearing GL with Open Item Management

    Dear Experts.
                    A liability GL (Remuneration Gl account) has been created by the client in the system without open item management. After that several entries has been posted in that GL account. Few months back they have activated Open Item Management for that GL using a program.Now they want to clear few entries in that GL account and while clearing the GL in F-03 system is displaying an error
    Document splitting: Items for clearing 1000/9300000661/2012/001 not found
    Message no. GLT0002
    Diagnosis
    Document splitting cannot perform clearing because it was not possible to find complete splitting information on the items to be cleared (company code, document number, fiscal year, item).
    System Response
    Clearing cannot be performed and the document cannot be posted.
    Procedure
    Exclude the affected item from clearing.
    It may be that this item was not posted with active document splitting. In this case, this item or document would have to be migrated.
    This error occurs due to the Open Item Management activation in the GL after entries were posted.
    Now the client wants to clear few entries in this GL account for which Open Item Management was activated recently. The client is not willing to create a new GL and post transfer entries. Is there any other possibility to clear this GL account.
    Please provide your valuable suggestions.

    The reason for the error GLT0002 is that there is no values for
    document in tables FAGL_SPLINFO and FAGL_SPLINFO_VAL
    Regarding the clearing process in the FAGL_ACTIVATE_OP:
    The clearing of the 'old' items is the standard process in the report.
    Here is the part from the documentation:
    (Please review the documentation on FAGL_ACTIVATE_OP via se38
    enter in FAGL_SWITCH_TO_OPEN_ITEM view documentation)
    The system then activates open item management and clears all existing
    open items. After this clearing, you have the option of having the
    system repost the amounts that were initially written off.
    This is done to start newly with the OI management once it is activated.
    So if you want to activate the OI management for an other account in
    your  system, please take into account that the clearing should NOT be
    opened again in standard.
    I would request you to please read the documentation in SE38 for FAGL_SWITCH_TO_OPEN_ITEM
    and please check whether all criteria's are fulfilled or not.

  • Open Item Management Issue

    We have an issue with the BSIS table and open items management flag. Even without the GL account being flagged as Open item in FSS0, entries still show as open items in BSIS table.  If you run FBL3n, the same account shows cleared with a green check mark and no red indicator. The problem is how to stop the BSIS showing this as open items and why its doing that way? Also, if you have any way of cleaning up BSIS so that only OIM managed accounts show and they clear automatically.
    Can you provide a step by step procedure to fix this issue.

       You do not understand the useage of the table BSIS. It is a secondary index for line items and not just an index for open items.
       For OIM accounts    BSIS = Not cleared, BSAS = Cleared.
       For Not OIM, but with Line item management = All items in BSIS.

  • Reset & reverse document with open item managed and none open item managed

    Dear forum,
    I would like to confirm the below.
    If i have a posted document where the double entry has open item managed account and none open item managed account and where the open item managed account is cleared, how can i reverse this document.
    The problem now is FBRA cannot reset and reverse (as the document partly has none open item managed account) and FB08 also cannot reverse (as part of the account is open item managed account and it is cleared).
    Besides manually reverse via FB01, any other method?

    Which document are you trying to clear using FBRA?  You should reset the "clearing document" using FBRA; not the original document that has one open item and one non-open item.  Once you reset the clearing document using FBRA, you should then be able to reverse the original document (the one that has one open item and one non-open item) using FB08.

  • Post open items with clearing for a account nt previously open item managed

    Hi,
    We have a current VAT account which was not open item managed till April 2008. Since the account has a zero balance we were able to make it open item managed from May onwards.
    Using transaction code FS10N we see that there are some items which are open  (type SB and SA). We want to post these items with clearing.
    Moreover the postings made in the vat account are done every month but they are manual postings only using T.Code FB50 and as checked using the transaction code OB40.
    We are not also allowed to run program RSEPA02. as this is not a standard program and not recommended to be run by SAP.
    Could anyone please sujjest how can we post the previous items with clearing.

    In this case when you are shifting account from open item to non open item all the open item debit and credit side to a dummy account and when account is converted into open item you have to reverse the earlier entries.
    Check this with what exactly you have done.

    There is a GL which was not defined as Open Item Management Previously.
    Now we Identified and we wanted to define it as Open Item Managed account.
    For ex take ..Payable Account
    say there is one line item with credit balance ..to make this accoount balance as 0 (ZERO)  ..we reversed the original entry ..we tried to select open item check box..
    but system is not allowing us to change ..instead its giving msg"Account balance is zero but stil open items exists"
    i dont understan this ..
    now how to solve this problem

    OK it's very easy to transfer the balance. Either u have already customised program to upload data or if the data is "little" u can just manual posting using FB01. just zerorise all balances in the old account.
    Eg. old journal:
    01  MAN        NIAGA SDN.              1,975.00 
    50  80070010   Rental-Car Park              1,975.00-
    To transfer:
    17  MAN        NIAGA SDN.              1,975.00-
    40  80070010   Rental-Car Park              1,975.00
    Means, the account will be zero.

    Hi experts
    I have tried different options and explored forums but haven't been able to find the solution as yet.
    I have some tax GL accounts (Tax Category field in their GL master is < or > i.e. Input or Output Tax Account). There have been postings to these accounts but these accounts are not open item managed. To perform clearing for these accounts, I need to activate OIM for which I'm trying FAGL_ACTIVATE_OP but the system gives me error"
    "Not possible to determine tax indicator in company code xxxx
    Company code xxxx is not considered for the activation"
    When I further drilldown the error, i find the following information:
    Diagnosis
    Postings to the selected account require a tax code. On the basis of the company code data (T001), the system tried to determine a tax code for zero tax. However, there is no such tax code stored for the company code.
    Procedure
    Specify the tax code for zero tax in the company code. You do this in Customizing for Financial Accounting Global Settings (New) under Assign Tax Codes for Non-Taxable Transactions.
    I have checked settings in OBCL for Non-Taxable Transactions and found that I0 and O0 are maintained for Input and Output tax (also tax jurisdiction). In Table T001 I also find these entries so these seem to be complete.
    Can somebody please help me sorting out this issue.

    Hi,
    Some G/L accounts cannot be managed on an open item basis,
    specially G/L accounts that are used in account determination for
    automatic transactions (ie: accounts set up as bank accounts, Tax
    accounts, raw material accounts, reconciliation accounts, profit and
    loss accounts).
    It is the standard design of the FAGL_ACTIVATE_OP that there is no
    conversion of a tax account to open item management.
    Processes as the posting of the sales/purchases tax payable do not
    process any clearing transactions therefore the open item management is
    not necessary. Clearings must really never be posted to an input VAT or
    output vat tax account, otherwise it would prevent subsequent processes
    on the actual open items (Customer or vendor). The only tax account on
    which the open item management should be possible is the G/L account of
    the deferred tax.
