After Results Recording - Valid Samples = 2, Defects are doubled

I carried out results recording - there were 13 characteristics and 7 of them failed.  In the Record Usage Decision screen 14 Defects are shown (instead of 7) and under the Characteristics tab, it shows 2 valid samples for each characteristics.
The result is that these increased defects are causing some confusion and 2 duplicate notifications are being created when the usage decision is made and the lot is saved.  Can anyone help explain why this is happening, and how I can make it stop doubling?

Note: The defect record is generated as a result of a valuation rule. This rule determines whether a defect record is to be created and if so, which code is to be used for the record. Since the valuation rules are stored as function modules in Customizing, you can adapt the way defect records are generated and their contents without having to make a program change.
Example: If you record results for samples, inspection points, etc., the system creates a defect record with the assignment inspection lot/operation/inspection characteristic, each time an inspection characteristic is refected. In addition, the standard system creates an additional defect record for the inspection lot/operation/sample (or inspection point, physical sample, equipment). This is, however, not always advisable. You can use the SapNet - R/3 Frontend note 107223/1998 to ensure that this additional defect record is not created. You achieve this by storing your own valuation module (or by changing an existing one) in Customizing.
I hope the above explains why you got 14 defect records for 7 rejections.

    Hi then based on the no of decimal places you can define the limit like for decimal places 3 your upper limit will be 4.999
    And if it is lower limit the it is 5.001

  • QM-  After Result Recording

    Helo Gurus,
    I done result recording as rejected for perticuler operation , then also the operation is going to confirm in co11n, actually it should not confirm know.
    What is actual process for that in QM? After rejection logically the operation should again done by the production deparment, that means....., please guide me, & provide the steps for the same.

    Keerthi is absolutely right. These scenarios has to be mapped with rework process. in standard QM there are no much control available please find some of the options you can do
    1) Once you find that the material is rejected either you can say in the pop up screen for confirmation that is no confirmation, or make use of the rework process. You will have to use user exits to have a better control on the rework process.
    2) Make your setting in such a way that only after production person confirms the rework order then only rejected material should be allowed to confirm in the next operation.
    3) You can make use of this user exit to deal with all kind of controls in CONFPP05

    My problem is i have assigned wrong inspection plan for one insp. lot, and i have recorded results and saved. My question is there any provision that i can reset the other inspection plan for that particular lot and record resullts again.

    Goto QA11/QA12 Change Udage Decision enter the inspection lot number and select Usage Decision -->Functions -->Cancel Lot.
    Then cancel the Material Document by which the Inspection lot was created.
    Then make the GR and new lot will be generated. Then assign the Inspection Plan, Results Recording.

  • Result Recording and Sample calculation

    Dear Experts,
    I have a concern regarding the sampling designed
    According to the sampling plan in local SOP the samples to be taken for all ZAPI and ZRAW as per below points.
    Withdraw sample from each container for Identification test. Here the sample size will very form material to material.
    Make a pool of sample according to No. of containers /5 for Other tests, like Assay,LOD,Potency,Microbiological tests etc...
    And there is Retention Sample.
    To meet this requirement, I have designed the sample management like this......
    There will be two partial Samples for Sample drawing procedure
    Partial Sample 010 has formula for Primary Samples :- P2.
    Partial Sample 010 has no Pooled Sample
    Partial Sample 010 has Reserved Sample; Fixed No 1;  along with Sample Size.
    Partial Sample 020 has Primary Sample IF P2>=5 THEN P2/5 ELSE P2 to meet the pooling of containers for other test than Identification.
    Partial Sample 020 has Pooled sample 1
    Partial Sample 020 has no Reserved Sample.
    No at the other end In inspection plan we have two operations;
    Operation 0010 ; Identification where all the MICs will be linked with Partial Sample 010 and Sample size for Identification test will be assigned along with Sampling procedure.
    Operation 0020; QC Laboratory where all the MICs will be linked with Partial Sample 020 and Sample size for Chemical and Micro Analysis tests will be assigned along with Sampling procedure.
    For an example for Material X:-
    Sample Size = 2gm, for Identification (ID) is maintained at respective MICs in Inspection plan
    Sample Size = 50gm, for Chemical and Micro Analysis tests  maintained at respective MICs in Inspection plan
    Sample Size = 150gm maintained at SDP for Reserved.
    If we receive a consignment 10 Containers for Material X. Then system will create sample as below.
    10 Primary samples from Partial Sample 010 of SDP each have sample size 2 and result needs to be recorded for each sample. This is very lengthy hence not acceptable to business.
    02 Primary samples from Partial Sample 020 of SDP each have sample size 25 and result not required to be recorded for it.
    01 Pooled samples from Partial Sample 020 of SDP each have sample size 50 and result needs to be recorded for it.
    01 Reserved Sample (There is no issue with this so not elaborating more)
    Total Sample size is 220 (20+50_150)
    {10*2=20 Primary Samples for ID
    2*25=50 Pooled Samples for Chem and Micro
    150 Retain Sample}
    Now the requirement is We don't want to record result for all 10 Primary sample from Partial Sample 010 but want to calculate the sample size as per above quantity.
    Kindly give me some guidance!!!!!!!

    I think what you'll need to do is create a sampling procedure for each container type you expect to receive. So if you get BUOM KG's  in 55 gal drums, you'll need a sampling procedure for drums. If you get it in a 2000lb super sac, you'll need a sampling procedure for that.  And of course separate inspection plans for the drum material and one for the super sac material since the same characteristic will specify different sampling procedures.
    The sampling procedure will specify a sampling scheme for that container.  I.e. for the super sacs with normal inspection you would specify 0-2000 = 2 g sample.  2001-4000  - 4 g sample.  4001-6000 = 6 g.  etc. etc..
    When the sample size for the ID characteristic is figured out, it will be 10g or 20 g.  Whatever.  It is based on the total lot size.
    The sample drawing procedure will take the sample size of 20 g now, and apply that to the pooled sample.  That will be divided by the primary samples, (P2 = 10) for a set of 10 primary samples of 2 g each.
    A second alternative would be to create the inspection plan in the alternative UOM. Say super sacs.  You receive in 10.  You could create a large sampling scheme for this where a lot size of 1 = 2 g.  2 = 4 g, 3 = 6 g, etc...   While it would be a large sampling scheme, you'd only need one sampling procedure and one sampling scheme.  The inspection plan will see a BUOM of 20,000Kg but convert that to 10 super sacs.  The sampling procedure would see an inspection lot qty of 10 super sacs.  The sampling scheme calcualtes a sample size of 20 for a lot size of 10.  The sample size is applied to the pooled sample and then distributed to the 10 primary samples. 
    This should work for all container types.  If the plan was in drums, 20,000 kgs might calcuate out to 30 drums.  The sampling procedure looks up 30 to find that is 60 and returns a sample size of 60g. That is applied to the pooled sample and divided amoung the primary samples, (P2 = 30), for 2 g per primary sample.

  • Result recording to be done after UD with long term inspection

    Dear All
    I have activated two MIC's for long term inspection. Inspection lot is created and UD is provided after Result recording. i have run QA12 and go to EDIT/RESET/INSPECTION COMPLETION.  status of UD changed to LTIN and then in Qe51 / qe51n i selected long term inspection but error message is coming '' NO CHARACTERISTICS WERE FOUND". Plz help , how to do result recording after UD.

    Dear Even if the char is long terms & if you have forcefully completed the chars then even if char has LTIN status it will not allow you.
    But check this in your sandbox and revert.
    1. In the MIC set the 'Optional Characteristic' and 'Long tem inspection ' in the control indiactors.
    2. Attach MIC in inspection Plan
    3. Do results recording and comlpete UD. all short term charactericts are closed.
    4. QA12Change UD with history for Inspection Lot ,
    Menu-> Reset inspection completion -> Status changes to LTIN
    5. Goto QA02 --> you woudl see " do you wnat to compete Long term inspections" --> yes
    6. Then Long term inspection characterictic is open for results recording.
    7. Change and complete results --> Make UD
    Check and Revert.

  • Decimal places display at the time of results recording

    Please i faced one problem, At the time of results recoridngi/.e,
    In my insp. plan i defined Quantitative specification as 70.0 with '1' decimal place in Qunatitative data. but after results recording it displaying one more decimal place excessi.e., as 70.00. How can i solve this problem, due to what this problem is occure. Please if any, solve its urgent.

    While entering Inspection Characteristics.. There is a field called DecPlaces on the right. its the  24th field on the item table.
    The field comes after
    Method, Insp Method plant, Version, Sampling Procedure, Sample Unit of Measure, Base Sample Quantity, SPC Criterion, Modification Rule, Test Eqpmt, Test Equip Short Text, Par Sample, DecPlace, Unit of Measure, Target Value, Lower spec Lmt, Upper Spec Lmt... and so on...

  • Result Recording QA32

    Dear Experts,
    In QA32 when we want to enter result for particular inspection lot, there is column for result and original value, whenever a user enter some values in the result text field, the original value column automatically inserted.
    My questions are:
    1. I found some inspection lots that had all the result value filled in but the original values are blank, what may caused this situation?
    assuming that the original values are updated automatically each time the result columns are filled in.
    2. Where do I found the table column to store this result field? because I can't find it in QASR or in QAMR tables.
    Please help, any help will be highly appreciated.

  • Three Physical Samples withdraw from inspection lot 04  and then result record for all three

    Dear Gurus,
    We have 3 quality labs and each lab is sent a separate samples to inspect certain characteristics once we receive material from production. I have created an inspection plan and mapped these three labs as  work center in operation and then assigned MICs under each operation to inspect.
    Now my issue is how to map separate 3 samples to inspection lot generated from production  ( type-4) and also how to configure that to inspection plan.
    I have to result record for all these three physical sample as withdrawn from Lot based upon inspection plan as mentioned above.
    I can mention sample drawing procedure in inspection plan but how to map actual sample there.
    Any help will be greatly appreciated.

    Hi Satish
    You are creating three operation for depicting three testing Labs.
    Against each lab (operation) you had assigned MICs as per your requirement.
    Now you have to assign a SDP along with inspection point type 200 for physical sample in task list.
    After prod confirmation system will create inspection lot along with a sample by default for 1st operation.
    For other operations you have to create samples manually referring the same inspection lot (QPR6).Remember to click ' Create Insp points' and mention operation.
    Release the samples in QPR4.
    Now when you go for result recording system would ask first for operation, so select the operation , then system will ask for insp point (sample no).There click on assign insp point , so system will provide the Sample no which were created in QPR6 for that particular operation.
    Please follow the steps and revert.

    I have created Defect class with few codes, during result recording defect class is 'GREY' not allowing to select code (only display).
    I want it's should be available so that one can choose the relevant code from defect class whille doing result recording.

    Please do the following setting
    In Result recording screen  > Go to Setting (Menu button ) > Defect Class on
    By doing this when you do result recording and the reading is out of spec then after the valuation pop up defect class will get popped up. You can select any one of the defect class

    The defect that is used is determined by the characteristic.  In the control indicators there is an indicator to record defects.  If this is set on for the characteristic, than defects will be recorded anytime the valuation type being used for the characteristic determines that the valuation is reject.   In the characteristic, under catalogs, you define the defect catalog to be used and if you are using automatic defects recording, you also define here the specific code to used when the characteristic is rejected.

  • Result recording & display of multiple tests/analysis of single sample

    Hello Friends
    Here is my scenario;
    I receive 500 kgs of material in 5 bags. I want to draw sample of 1 kg from each bag. Thus I will be having 5 samples. I will perform the required tests on each sample. For testing I am consuming @250 gms of material. Out of 5 samples, I had to conduct the retest on 2 samples. I want to do the result recording of these tests/samples. In my understanding there will be 7 result recordings which will include 2 of Retest of 2 samples. I would like to display all the values recorded ( atleast for each samples ). Also, I would like to see the individual values and not the averaged out values the recordings.
    How can I take care of constraints due to pooled sample i.e. it allows only the result recording of pooled sample and not the subsequent samples.
    I would appreciate your detailed guidance on this issue.

    Normally, we use Sampling procedure with Fixed Sample as Sampling Type withAttributive inspection non confirming units as valuation mode. Determination Rule as 10 ( Fixed Sample ). Sample drawing Procedure followed is "draw from all containers". Irrespective of our present settings, I would appreciate if you let me know the settings to be made in order to map given scenario.

  • Result Recording without release of physical sample

        SAP Gurus,
        I have one query regarding result recording for some lots.
       I have created one sample drawing procedure and assigned to inspection plan.
       In SDP I have maintained primary size factor 1, Fixed number 1, Acc.to smplng scheme-PM, Insp. severity-4.
       In pooled sample  size factor 1, Fixed number 1.
      At header level Consider No. of Containers Tick, Confirmation Required Tick, Used in Task List Tick.
    I have done One GR for raw material and assigned that inspection plan to the created 01 origin 01through QA02.
    One primary and pooled sample is created in CRTD status. I have not release the sample.
    When I go to QE11 for result recording system assigns the physical sample by default and branch me direatly to the result recording screen.
    My query is that, i have acivated confirmation required tick in SDP then system should not accept the sample which is in created status and should not allow me to do result recording. But system is skiping this and allowing me to do Result recording.
    Please let me know what necessary settings i have forgot.

                   The scenario i mapped is that, I need to release the sample manually. User should not go for RR without sample release.
    It is working fine also. But for few lots it is not asking the sample release. It ir skiping the sample status stage and directly going to RR.
    Please let me know way system is behaveing like this for few lots only.

  • Default defect class during results recording

    Hi all,
    In the inspection plan I have maintained target value 20, lower limit 19 and upper limit 21 for one MIC which has single recording. When I do results recording for the MIC, I entered value 18, 20, 20, 20, 21, 18 was rejected automatically with a defect class Major defect A. Where is the default defect class from? If I want to enter a different one, how to change it?
    The only place I can imagine is the configuration of Catalog 9 Defect Class in which defect class is assigned to each Code, but in my case no Code was selected.
    Please help.

    Follow the path QCC0> Quality planning> Basic Data> Catalog> Define defect class.
    In this field, you can customize the details as per your need.
    Once done, you need to assign it to Plant level setting as told by Rohit.

  • QM-result recording after doing usage dcision and stock posting.

    HI gurus,
    My client is steel manufacturing industry.The requirement of client is that, after doing usage decision and stock posting they want to do result recording.Thy want it like this because in case of urgency they pass the material and afterward they do the result recording.Is such a scenario is possible in standard sap.If yes pls. provide me the solution.

    I wouls suggest you look at Jan's suggestion.  Setting everything as LT characteristics is
    1) not a good quality practice
    2) you would still have to manually to the UD I believe, auto UD won't work.  So if you have to manually process the lot anyway, you may as well just make the sotck posting and leave the lot open for results recording.
